Job Description

  • Implement and maintain a centralized document management system to facilitate easy retrieval and tracking of documents.
  • Manage the document lifecycle, ensuring all documents are accurately created, reviewed, and stored in compliance with company and regulatory standards.
  • Coordinate with project teams to ensure timely submission of all required documentation, minimizing delays in project timelines.
  • Conduct regular audits of documents to ensure compliance with quality assurance protocols and identify areas for improvement.
  • Develop and maintain document control procedures and guidelines, ensuring all team members are trained and adhere to these standards.
  • Assist in the preparation of reports and documentation for audits, ensuring all necessary records are available for review.
  • Facilitate effective communication between project stakeholders by providing timely updates on document status and revisions.
  • Create and manage templates for various types of documents to ensure consistency and adherence to branding guidelines.
  • Monitor and track document revisions and versions to maintain integrity and accuracy throughout the project lifecycle.
  • Support continuous improvement initiatives by providing insights based on document control processes and identifying opportunities for streamlining operations.

Desired Candidate Profile

  • Bachelor's degree in a relevant field such as Business Administration, Information Management, or Engineering is preferred.
  • A minimum of 3 years of experience in document control within the construction or engineering industry is essential.
  • Certifications in Document Control or Project Management (e.g., PMP, ISO) are highly regarded.
  • Proficient in document management software (e.g., Aconex, SharePoint) and MS Office Suite is a must.
  • Fluency in English is required; knowledge of additional languages is a plus, especially in multinational environments.
  • Strong analytical skills with attention to detail to ensure accuracy and compliance in documentation.
  • Excellent organizational skills are necessary to manage multiple projects and deadlines effectively.
  • Ability to work collaboratively in a team environment while also being self-motivated and proactive.
  • Strong communication skills, both verbal and written, to effectively liaise with various stakeholders.
  • A commitment to continuous learning and professional development in document management practices.
