Roles & Responsibilities:
- Greet, welcome, and direct visitors appropriately; notify company personnel of visitor arrivals.
- Maintain security and telecommunications systems.
- Answer or refer inquiries to inform visitors.
- Maintain employee and department directories to direct visitors effectively.
- Ensure security by following procedures, monitoring logbooks, and issuing visitor badges; operate telecommunication systems per manufacturer instructions.
- Keep the reception area safe and clean by adhering to procedures, rules, and regulations; document and communicate actions, irregularities, and ongoing needs to support team continuity.
- Contribute to team efforts by accomplishing related tasks as needed.
- Act as the point of contact between the manager and internal/external clients.
- Screen and direct phone calls; handle correspondence distribution.
- Handle requests and queries appropriately.
- Manage the diary, schedule meetings, and appointments.
- Prepare reports, presentations, and briefs.
- Assist the sales team in improving productivity by contacting customers for appointments and providing high-quality, up-to-date support material for Sales Representatives.
- Handle urgent calls, emails, and messages when sales representatives are unavailable.
- Respond to customer queries, inform about delays, arrange delivery dates, and schedule marketing events.
- Manage orders via phone, email, or mail; verify correct prices, discounts, and product numbers.
- Input orders, ensuring they meet customer requirements, are accurate, and are delivered on time.
- Collaborate with other departments to ensure efficient handling of sales, marketing, queries, and deliveries.
- Develop and maintain filing systems to keep sales records, prepare reports, and provide financial information to the finance department.
