Job description

Job Summary

The Customer Repair Representative role involves updating customers, facilitating smooth information flow, and supporting various departments with administrative tasks and quotation preparation. The ideal candidate should be well-organized, capable of handling multiple tasks efficiently in a fast-paced environment, and maintain professionalism in all interactions.

Responsibilities:

  1. Monitor all incoming customer inquiries for quotations and equipment arrivals, ensuring seamless tracking from receipt to job completion and shipment.
  2. Maintain accurate job status by regularly updating the work-in-progress (WIP) and enquiry/quotation trackers.
  3. Coordinate job details with the shop team via tracker tickets and ensure operational alignment.
  4. Perform compliance checks on jobs to adhere to internal and external regulations.
  5. Prepare and issue sales quote acknowledgments, budgetary or firm cost estimate sheets, and CPA (Cost Pricing Analysis).
  6. Liaise with the finance team to verify payment terms and ensure taxes are reflected in quotes and invoices.
  7. Follow workflow processes to obtain necessary approvals for cost estimates and release quotations to customers promptly.
  8. Prepare sales contracts upon receiving purchase orders, ensuring terms and conditions are met.
  9. Provide customers with regular updates, sales order acknowledgments, and Inspection Test Plans (ITPs), maintaining transparency throughout the job cycle.
  10. Save all important job-related documents, including inquiries, cost sheets, quotes, and purchase orders, in the Rig Office system.
  11. Ensure timely follow-up on Accounts Receivable and minimize overdue invoices.
  12. Track unbilled jobs and expedite invoicing to avoid delays in billing and revenue recognition.
  13. Submit weekly AR and unbilled job reports to management for review.
  14. Maintain an updated warranty tracker.
  15. Address customer complaints and provide outstanding customer service, including handling difficult issues.
  16. Conduct customer credit limit checks.
  17. Revise and adjust quotes as necessary.
  18. Identify opportunities for system improvements and collaborate with relevant departments on enhancements.
  19. Perform tasks as assigned, complying with NOV Company and HSE policies.
  20. Adhere to all NOV Company Policies and Procedures, including Quality Management Systems, HSE standards, and other corporate guidelines.

Behavioral Skills / Competencies Required

  • Experience with ERP Planning preferred (Oracle experience is an advantage but other ERP experience will be considered).
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work under pressure and meet tight deadlines.
  • Knowledge of safety regulations and quality standards in repair operations.

Experience Required

  • High School Diploma or GED equivalent.
  • 3-5 years of experience in a manufacturing environment is preferable.
  • Technical education, product knowledge, or experience is advantageous.
  • Proficiency in Microsoft Office Suite.
  • ERP System Experience (Glovia), with basic to advanced knowledge.
  • Higher education degree preferred.
  • Experience or knowledge of 5S (Organization / Standardization).
  • Oil & Gas technical knowledge.
