Job Description

Are you a highly organized, people-savvy professional with a flair for logistics and a passion for the broadcast/media industry? We are looking for a Crewing Assistant to join our dynamic team!

In this role, you will be the heartbeat of our operations, managing crew rosters, coordinating logistics, negotiating freelancer contracts, and ensuring our projects run smoothly from start to finish.

What You’ll Do:
  1. Maintain and update our Crewing Calendar with project timelines, staff leave, and in-house needs.
  2. Support monthly Time Off in Lieu (TOIL) tracking for internal crew.
  3. Manage a detailed crew database, tracking positions, rates, skills, and performance.
  4. Roster crews for projects, liaising closely with Sales and Technical Managers.
  5. Coordinate all logistics for crew (travel, accommodation, visas, per diems, etc.).
  6. Negotiate with freelancers, manage contracts, and clearly communicate expectations.
  7. Ensure smooth project execution by planning crew contingencies and replacements.
  8. Evaluate crew performance and support project closeouts.
  9. Oversee financials related to crew, verifying freelancer invoices and supporting reimbursements.
What We’re Looking For:
  • Degree in Business, Finance, HR, or a related field.
  • 2+ years of relevant experience.
  • Excellent organizational, negotiation, and interpersonal skills.
  • Detail-oriented and adept at multitasking in a fast-paced environment.
  • Proficiency in Microsoft Office Suite.
  • Strong client management skills.
  • Understanding of the broadcasting/media industry is a big plus!
