Job Purpose

The Credit Administration Officer will be responsible to manage the preparation, verification, and safekeeping of facility and collateral documentation in compliance with credit approvals, AAF policies, and regulatory standards. The role involves ensuring all required documents are accurately collected, recorded, and stored, conducting post-approval monitoring of borrowing documents, and maintaining data integrity for management reporting.

Principal Accountabilities:

Credit Documentation Control

  • Analyze credit approvals to identify the required facility and collateral documentation, ensuring compliance with AAF’s policies and guidelines.
  • Prepare accurate facility and collateral documents based on approved terms and conditions.
  • Coordinate with Business Units, Risk Management, and Legal teams to finalize Credit Agreements and Security Agreements as required.

Documentation Review & Compliance

  • Review all documents related to approved facilities, ensuring that they are in order and comply with AAF guidelines.
  • Advise business units on any documentation deficiencies and assist them in rectifying issues.
  • Ensure that all documents mentioned in the documentation checklist are received and properly filed.
  • Ensure that discrepancies are identified and escalated to the appropriate authorities for resolution.

Legal & Compliance Coordination

  • Liaise with the legal team to verify the authenticity of signatories of borrowing entities and guarantors when necessary.
  • Obtain clearance from the Compliance Department before activating any credit facility.
  • Provide clearance to OPS for limit input or disbursement after the completion of documentation requirements or on a deferral basis when required.
  • Ensure that no clearance is issued to OPS for discrepant documents unless there is a specific waiver/deferral approval.

Document Filing & Safekeeping

  • Ensure that complete sets of documents are safely filed in a fireproof cabinet for safekeeping and easy retrieval.
  • Periodically review borrowing documents under custody to identify any discrepancies and ensure proper housekeeping.

Qualifications & Experience:

  • A Minimum of Diploma in, Banking, Finance or Commerce.
  • Minimum 2 years general banking experience, preferably with reputable bank or financial institution.

Skills:

  • Excellent attention to detail with strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Strong communication and collaborative skills, with the ability to interact effectively with internal teams and external stakeholders.
