Your Role:

You will manage front desk operations and provide administrative support that ensures our workplace runs smoothly and professionally.

Responsibilities:

  • Greet and assist guests and clients upon arrival.
  • Handle incoming phone calls: screen, transfer, and respond with professionalism.
  • Keep the reception area tidy, organized, and well-stocked with supplies.
  • Offer accurate information in person, by phone, and via email.
  • Receive, sort, and distribute daily mail and deliveries.
  • Enforce front-desk security by monitoring logbooks and issuing visitor badges.
  • Coordinate office supplies and maintain inventory.
  • Manage calendars and schedule meetings.
  • Arrange travel, accommodations, and prepare travel vouchers.
  • Maintain records of office expenses and costs.
  • Support the team with clerical tasks like filing, scanning, and printing.

What We’re Looking For:

  • Prior experience as a Receptionist, Front Desk Representative, or similar role.
  • Proficiency in Microsoft Office Suite.
  • Experience with office equipment (printers, scanners, fax).
  • Professional appearance and strong communication skills.
  • Fluency in English & or any other European language – Preference for immediately available candidates
  • Highly organized with excellent multitasking and time-management skills.
  • Positive attitude, reliability, and a customer-first mindset.
