Job Title: Corporate Travel Coordinator - Business Travel

Position Summary:

We are seeking an organized, detail-oriented, and proactive Corporate Travel Coordinator to manage all business travel arrangements for employees and executives. In this role, you will be responsible for coordinating travel logistics, ensuring cost-effective travel options, managing relationships with travel vendors, and providing exceptional customer service to travelers. The ideal candidate will possess excellent communication skills, a strong understanding of corporate travel needs, and the ability to adapt to changing requirements in a fast-paced environment.

Key Responsibilities:

Travel Planning & Coordination:

  • Arrange domestic and international business travel for employees, including flights, accommodations, transportation, and itineraries.
  • Ensure travel arrangements align with company policies, budget constraints, and preferred suppliers.
  • Handle special requests for travel accommodations, including VIP and executive-level bookings.

Vendor Management & Negotiation:

  • Manage relationships with travel vendors, including airlines, hotels, and car rental services.
  • Negotiate favorable terms, rates, and discounts with travel suppliers.

Expense Management & Reporting:

  • Monitor and report on travel expenses to ensure adherence to the company’s travel policy and budget.
  • Review and process travel reimbursements and ensure timely submission.

Traveler Support:

  • Provide excellent customer service to employees regarding travel inquiries, changes, cancellations, and emergencies.
  • Assist travelers with real-time flight changes, cancellations, and booking adjustments as necessary.

Policy Compliance:

  • Ensure that all travel arrangements comply with corporate travel policies and industry regulations.
  • Provide guidance and support to employees on travel policies and best practices.

Travel Documentation & Record-Keeping:

  • Maintain accurate travel records and create reports for internal stakeholders.
  • Track and manage business travel bookings and expenses to ensure accurate documentation and compliance.

Travel Program Optimization:

  • Continuously evaluate and recommend improvements to the company’s travel program, ensuring efficiency and cost-effectiveness.
  • Keep up to date with industry trends, emerging travel technologies, and new vendor opportunities to improve the overall travel experience.

Qualifications:

Education:

  • Bachelor’s degree in Business Administration, Travel Management, or a related field preferred.

Experience:

  • Minimum of 2 years of experience in corporate travel coordination or business travel management.

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong attention to detail and problem-solving skills.
  • Fluent in English and Arabic.
