Job summary

Fugro in Dubai, UAE, is seeking an experienced Contract Administrator for the Middle East & India to manage contractual terms from award through close-out on EPC projects. The role demands rigorous attention to compliance, risk mitigation, and coordination with Legal and project teams.

• Bachelor’s or Master’s Degree in Engineering, Quantity Surveying or a Construction related degree with post grad legal training.
• 4-5 Years minimum of Projects experience with EPC companies.
• Offshore Project experience would be a plus.

Responsibilities

• Oversee performance and implementation of contract obligations to minimize contractual risk for small and medium scale projects.
• Serve as point of contact with Legal and stakeholders to monitor contract compliance.
• Coordinate with internal stakeholders to draft/respond to client correspondence and notices.
• Coordinate with project managers to address contractual issues/risks related to cost/time variations.
• Support in project-claim related matters and in negotiations for contract variances such as extensions of time.
• Maintain and track contractual records and communications.
• Monitor project schedule and cashflow to avoid overruns.
• Ensure timely issuance of Insurance Certificates and Bank Guarantees and their cancellations.
• Monitor preparation of progress invoices and ensure timely cash collection.
• Support in subcontract negotiations and compliance requirements.
• Ensure timely responses to client communications and audit requirements.
• Attend client and subcontractor meetings and record minutes.

In this role, you will be responsible for the proper administration of contracts with Fugro’s key clients.

Key Responsibilities

• Oversee the administration of the contractual terms and conditions starting from the contract award through the contract close-out and final settlement for small and medium scale projects.
• Oversee performance and implementation of key contracts obligations, for the purposes of minimizing contractual risk` for small and medium scale projects.
• Serve as point of contact with Legal in contractual matters and with all other relevant stakeholders with a view to monitor contract compliance with established procedures.
• Coordinate with internal stakeholders and utilize their input to draft/respond to client correspondence including notices.
• Coordinate with project managers and other project stakeholders within the company to address any contractual issues/risks related to: cost/time variations.
• Support in the preparation in any project-claim related matter (inclusive of any dispute resolution as required); Support in the preparation and negotiation with the client any contract variances such as variation requests, extension of time.
• Maintain and track contractual records, including communications/letters between the parties.
• Monitor the project schedule and cashflow with the Project Controls Engineer to ensure no schedule and cost overruns.
• Ensure timely issuance of Insurance Certificates and Bank Guarantees in compliance with the contract as well as their cancellations.
• Monitor and manage with the Project Admins and the Project Controls Engineer the preparation of progress invoices (including required supporting documents) and follow-up on timely cash collection.
• Support in the preparation and negotiation of the Subcontract Agreements pursuant to the Project requirements and Fugro’s Compliance requirements.
• Ensure compliance with the contractual notices and timely issuance of responses to Client’s communications.
• Support the audit requirements pertaining to Contract Management.
• Attend important client and subcontractor meetings and ensure proper minutes of meeting are recorded

What Skills & Experience Will You Have?

• Bachelor’s or Master’s Degree in Engineering, Quantity Surveying or a Construction related degree with post grad legal training.
• 4-5 Years minimum of Projects experience with EPC companies.
• Offshore Project experience would be a plus.
• Communication: The ideal candidate must be able to communicate ideas effectively to the company, to the other parties involved in the contract and to stakeholders to keep everyone apprised of contract-related matters.
• Negotiation: Negotiation is essential in this role to get the most benefit to the company possible out of any contract considered.
• Confidence: A key aspect of successful contract administration is confidence. It takes a strong attitude to successfully negotiate and execute contracts, as well as an understanding of when to walk away and when to stand one’s ground.
• Financial Skills: The ideal candidate must have the necessary financial/commercial skills to determine exactly how the company would benefit.
