Job Purpose

The job holder plays a crucial role in creating a welcoming atmosphere for clients, tenants, and visitors. This individual is responsible for managing the front desk, ensuring smooth communication, handling administrative tasks, tenants on & off boarding, and providing excellent customer service.

Responsibilities

  1. Front Desk Management:
    • Greet and welcome clients, tenants, and visitors in a courteous manner.
    • Answer phone calls, manage the switchboard, and respond to email inquiries.
    • Provide accurate information about the services, amenities, and policies of the business center.
    • Maintain a clean and organized reception area.
  2. Leads:
    • Greet all clients as per Cloud Spaces standards.
    • Direct sales calls to the Manager promptly and professionally, aiming to respond within 30 seconds.
    • Register every walk-in lead into the system.
    • Ensure an adequate stock of marketing materials is always on hand.
  3. New Client Setup:
    • Accurately allocate phone numbers and set up communication for new clients.
    • Contact all new clients prior to their commencement date to introduce yourself as their new Receptionist, review their basic phone requirements, and team names.
    • Test all communication setups.
    • Record all first voicemails and welcome messages for new clients.
    • Introduce clients to the communication system and its features, such as voicemail, diversion off premises, conference calls, etc.
  4. Administration:
    • Monitor bookings for Boardrooms, Meeting Rooms, videoconferencing, and offices via the system.
    • Manage all incoming and outgoing couriers and deliveries, including timestamping and notifying clients upon arrival.
    • Organize couriers efficiently.
    • Administer and record the daily volume of incoming calls.

Related Years of Experience

Minimum of 2+ years of experience.

Field of Experience

Experience in receptionist, front desk, customer service, or related fields.

Technical and Interpersonal Skills

  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite.
  • Fundamental knowledge of workplace safety standards.

Qualifications

High school diploma or equivalent.
