Job description

We are currently seeking a Business Support Officer to provide crucial assistance to senior leadership through effective procurement coordination, administrative operations, and cross-functional collaboration.

  • The ideal candidate will possess strong technical administration abilities and demonstrate proficiency in relevant industry software, including Maximo, SharePoint, Oracle Fusion, and advanced Excel.
  • In this position, you will deliver high-level administrative support to the Senior Leadership Team by preparing Capital Expenditure (CAPEX) reports and tracking purchase requisitions (PR) as well as purchase orders (PO).
  • Additionally, you will be responsible for managing procurement documentation such as Requests for Information (RFIs), Requests for Quotations (RFQs), contracts, and Blanket Purchase Agreements (BPAs), while providing timely reports and data to the Head of Department (HOD).

Your key responsibilities will include:

  1. Preparing and proposing the annual Operating Expenditure (OPEX) and Capital Expenditure (CAPEX) budgets for the asset.
  2. Managing and controlling actual costs in comparison to the budget periodically.
  3. Effectively managing a demanding and reactive workload to assist management in achieving key objectives and complying with regulatory requirements, including overseeing scheduling commitments.
  4. Preparing and monitoring the annual turnover and rental concession budgets for the asset.
  5. Achieving financial Key Performance Indicators (KPIs) through diligent management of actual costs against the budget and implementing cost-saving initiatives.
  6. Monitoring and analyzing weekly and monthly asset traffic (footfall).
  7. Executing YARDI and Oracle functions, such as raising Purchase Orders (POs), processing Purchase Requisitions (PRs), and generating Goods Receipt Notes (GRNs).
  8. Creating procurement-related reports, including Single Source and the Procurement Annual Demand Plan.
  9. Providing comprehensive administrative support to Executive Management.
  10. Managing complex diaries of Senior Management.
  11. Organizing travel arrangements and processing expenses.
