Job description

Aquaforce Group is a family business that manufactures bathroom products and supplies across MENA and South East Asia. Committed to innovation operational excellence and sustainable growth we are embarking on a comprehensive company restructure to enhance our operations and efficiency.

We are seeking a highly organized and proactive Business Support Executive & PA to COO to work across multiple business functions supporting and/or managing special projects within Aquaforce Group. This individual will play a key role in ensuring operational effectiveness while working closely with the Group COO on a strategic company restructure of our Dubai office and Jebel Ali Manufacturing Unit. Given the nature of the role a high degree of sensitivity discretion and professionalism is essential.

In addition to business support responsibilities the role will also involve Personal Assistant (PA) duties for the COO including managing schedules coordinating meetings and handling confidential communications.

Tasks
  • Provide executivelevel support to the Group COO in overseeing and executing a full company restructure.
  • Act as a liaison between various departments ensuring seamless communication and alignment of objectives.
  • Manage and support special projects across different business functions ensuring timely delivery and efficiency.
  • Conduct research data analysis and reporting to support strategic decisionmaking.
  • Draft and review business reports presentations and internal communications.
  • Coordinate meetings project timelines and action plans related to the company restructuring.
  • Assist in the implementation of new business processes and organizational changes.
  • Support crossfunctional collaboration between departments such as HR Finance Operations and Marketing.
  • Identify operational inefficiencies and propose solutions to streamline workflows.
  • Assist with recruitment onboarding and aligning HR policies with operational needs
  • PA Responsibilities: Manage the COOs calendar schedule meetings arrange travel plans and handle correspondence.
  • Act as the COOs point of contact for internal and external stakeholders ensuring effective communication and time management.
Requirements
  • Proven experience in a similar business support executive assistant or project coordination role.
  • Strong understanding of business operations organizational change and restructuring processes.
  • Exceptional organizational and multitasking skills with strong attention to detail.
  • High levels of discretion professionalism and the ability to handle confidential matters.
  • Strong analytical skills with the ability to synthesize information and present actionable insights.
  • Excellent communication and interpersonal skills with the ability to work with senior stakeholders.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and project management tools.
  • Technical skills including experience with AI tools CRMs and data analytics platforms are beneficial.
  • Ability to work independently take initiative and drive projects forward.
  • A background in business administration project management or operations is advantageous.
