Job description

Job Purpose:

This role is responsible for analyzing, gathering, and documenting business requirements to support the development, enhancement, and integration of systems, platforms, and digital solutions across GPSSA. By acting as a bridge between stakeholders and technical teams, this role ensures that deliverables align with organizational objectives, user needs, and industry standards. The role identifies opportunities for process improvement, facilitates effective communication, and provides data-driven insights to enhance operational efficiency. Additionally, this role supports project implementation by ensuring clear requirements, fostering collaboration, and driving continuous improvement to deliver seamless and innovative solutions.

Main Duties and Responsibilities:

Core Responsibilities

Requirement Gathering and Analysis

  • Conducts comprehensive analyses of business needs to identify opportunities for enhancing systems, processes, and digital solutions while ensuring alignment with GPSSA’s strategic goals.
  • Engages with stakeholders through interviews, surveys, workshops, and focus groups to capture and document detailed business, functional, and non-functional requirements.
  • Translates business requirements into actionable specifications, ensuring clarity and prioritization based on business value and impact.
  • Evaluates current workflows and systems to identify inefficiencies, bottlenecks, and opportunities for process automation or optimization.
  • Supports project objectives by ensuring deliverables align with organizational priorities, timelines, and available resources.

Collaboration and Stakeholder Engagement

  • Serves as a liaison between business stakeholders, technical teams, and external vendors, ensuring clear communication and alignment throughout the project lifecycle.
  • Facilitates workshops and meetings to foster collaboration among cross-functional teams and ensure alignment on project objectives and deliverables.
  • Synthesizes feedback from diverse stakeholders to create comprehensive requirement specifications that balance business priorities and technical feasibility.
  • Communicates updates on project progress, system enhancements, issue resolutions, and maintenance activities to relevant stakeholders.
  • Develops and maintains communication plans to address stakeholder concerns and expectations proactively.

Documentation and Process Mapping

  • Develops detailed specifications, user stories, and process maps to clearly communicate requirements to technical teams and stakeholders.
  • Maintains a requirements traceability matrix to track changes and ensure alignment throughout the project lifecycle.
  • Creates user manuals, training materials, and documentation to support end-users in adopting new systems and processes.
  • Prepares project artifacts, including scope definitions, requirement prioritization matrices, and project planning documentation, in alignment with organizational standards.
  • Participates in design sessions, providing input on functional specifications and ensuring designs are practical, scalable, and user-friendly.
  • Reviews prototypes, mock-ups, and system designs to ensure alignment with user expectations and business objectives.
  • Supports the integration of systems and platforms, ensuring seamless interoperability and alignment with enterprise standards.

Strategic Insights and Recommendations

  • Researches industry trends, best practices, and emerging technologies to recommend innovative solutions for enhancing business processes and system capabilities.
  • Provides insights and recommendations based on stakeholder feedback, performance metrics, and operational analysis to support continuous improvement initiatives.
  • Supports the implementation of strategic roadmaps and enterprise-wide initiatives by providing in-depth business analysis and expert input.

Self-Management Responsibilities

  • Defines performance goals at the start of the year in discussion with the Line Manager and ensures that the goals are achieved during the year.
  • Identifies the training and development requirements for self and agrees on them with the Line Manager to ensure that the required trainings are arranged and attended.
  • Strives to achieve the highest levels of proficiency on all the competencies and skills required to perform the role.
  • Keeps abreast of professional developments, new techniques and current issues through continued education and professional growth.

Education and Experience:

  • Bachelor's degree in Information technology, computer science, business administration, or a related field.
  • Minimum 5+ years of experience in business analysis, with a focus in enterprise applications.
