Are you passionate about travel and delivering unforgettable experiences? We’re seeking an Assistant Manager role to join our dynamic Sales Leisure & MICE team. The primary objective of the Assistant Manager is to support the Sales team in delivering high-quality, competitive travel proposals and managing client reservations while ensuring smooth coordination across departments. This role plays a key part in maintaining operational efficiency, enhancing client satisfaction, and contributing to the overall success of the Sales Leisure & MICE function through proactive administrative, quotation, and reservation support.
Job Scope:
Preparation for Sales Quotations
- Assist the Sales team by preparing tailor-made proposals for FITs, groups, and MICE clients.
- Source rates, availability, and content from suppliers or internal systems.
- Ensure quotations are accurate, competitive, and delivered within the expected timelines.
Handling Partner Reservations
- Coordinate and manage reservations for accommodation, transfers, tours, and other travel services for VIP, Luxury & MICE requests.
- Communicate effectively with suppliers and partners to confirm bookings and resolve issues.
- Maintain accurate records of all partner-related reservations and changes.
Support Trade Activities
- Assist the Sales team in preparing and executing trade-related initiatives, including Fam Trips, roadshows, and overseas promotional activities.
- Coordinate travel logistics, schedules, and materials required for trade events and travel industry engagements.
- Support on-site execution (in country and overseas) when needed, including client hosting, venue coordination, and last-minute troubleshooting.
- Help compile post-activity reports and feedback summaries to evaluate effectiveness and inform future planning.
Internal Communication & Team Support
- Work closely with the Sales Director and other departments to ensure seamless project flow.
- Communicate internal deadlines, updates, and deliverables clearly across teams.
- Support team meetings through scheduling, minute-taking, and task follow-ups.
Client Relationship Support
- Support the Sales team in managing client inquiries and follow-ups.
- Maintaining long-term client relationships by ensuring a smooth pre-sale and post-sale process.
- Help gather feedback from clients for continuous service improvement.
Systems and Data Management
- Utilize CRM and reservation systems to manage bookings and client records.
- Ensure data is up-to-date, organized, and accessible for the Sales and Operations teams.
- Generate reports and analytics to support business planning.
- Manage data and reports manually until systems are in place, ensuring accuracy and consistency.
Quality Control & Continuous Improvement
- Ensure all proposals, reservations, and documents meet company standards and client expectations.
- Proactively identify inefficiencies or errors and suggest improvements.
- Contribute to internal process reviews to enhance service delivery.
The Ideal candidate should have:
- Bachelor’s Degree in Tourism or Hospitality
- At least 2 years of hands-on experience in a Destination Management Company (DMC) or hotel environment, with a strong focus on travel coordination, client servicing, or sales support.
- Experience working with start-up DMCs, where flexibility, adaptability, and a proactive approach are key to success.
- Strong written and verbal English communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail is crucial when preparing quotations, itineraries, and booking confirmations.
- Organizational skills – able to manage multiple tasks, requests, and deadlines.
Desirable:
- Knowledge of Italian, Dutch or any other European Language
