Job Description:

We are a corporate services company based in the UAE, Dubai. Providing client solutions as company setup, visa services, HR, payroll, etc.

Job Outline:

The Assistant Operations Manager is responsible for assisting the Operations Manager in the implementation of administrative, operational and logistical functions within the department. This role involves overseeing day-to-day visa operations, ensuring jobs are processed on time while adhering to operational standards.

This is not a remote or hybrid role.

Responsibilities:

Team Supervision and Management:

  • Assist in the day-to-day operational requirements.
  • Provide general consultation and assistance to visa related issues and inquiries.
  • Ensure hardware and software are updated and working by doing periodic health checks.
  • Ensure Team Leads can meet daily, weekly and monthly KPIs.
  • Flag OM for potential issues within the team.
  • Flag OM for critical jobs.
  • Attend handover of new clients.
  • Oversee Logistics and Messengers directly.

Workflow Management:

  • Identify updates and changes in government processes impacting visa guidelines and related processes.
  • Monitor daily job queues and ensure jobs are processed on time.
  • Ensure payment cards are funded.
  • Identify bottlenecks that impacts productivity and recommend solutions.
  • Recommend equitable distribution of workload.
  • Leave cover for Operations Manager.

Training and Development:

  • Provide guidance, support, and performance feedback.
  • Assist in developing a training module.
  • Ensure training of new joiners are progressing as planned.
  • Recommend and implement cross training of assets.

Communication:

  • Act as primary point of contact between Team Leads and Asst Manager/OM.
  • Do daily game planning with department.
  • Schedule department meetings, as necessary.
  • Escalate to OM issues that cannot be resolved within team level.

Process Improvement:

  • Develop and conduct periodic review of templates.
  • Develop and conduct periodic review of EIF.
  • Explore and recommend opportunities to enhance team skills and productivity.
  • Support implementations designed to enhance efficiency.
  • Stay updated on industry best practices and integrate them into SOPs.

Administrative Duties:

  • Develop SOP - cosmetic, content and delegate.
  • Consolidate weekly EID and DHA to payment request.
  • Complete vehicle/bike handover.
  • Consolidate monthly ACT Responsibilities.
  • Conduct and record Performance Evaluation.
  • Assist in recruitment and hiring new assets.

Education: Bachelor’s degree in Business Administration, Hospitality, or a related field (preferred).

Experience: Minimum 3+ years in a supervisory or managerial role.

Fluency in both English & Arabic, must.

Leadership and team management skills.

Customer service and problem-solving abilities.

Proficiency in Microsoft Office, and operational management tools.

Strong communication, interpersonal skills & internal stakeholder management.

Ability to multitask and work under pressure in a fast-paced environment.
