Job Purpose:

The job holder will provide secretarial and administrative support to the lawyers within the DHRE Legal team, including support services in relation to lawyer work product and ensuring meticulous documentation and confidential control, in order to support the legal function in providing timely advice to the business and adhering to relevant policies and procedures.

Key job responsibilities:

  • Support lawyers in relation to legal administrative tasks and proof reading.
  • Co-ordinate with stakeholders (both internal and external) on assigned tasks by head of department / lawyers in the legal team, and provide support functions with tracking, reporting, and internal communication and team concerns.
  • Maintain processes, systems and procedures for logging legal services requests and the document control function of the concerned department.
  • Manage all confidential contracts documentation, ensuring security and accessibility.
  • Provide effective support to the team members in all general administration and secretarial functions.
  • Schedule and arrange meetings as required.
  • Responsible for updating and maintaining of various files relevant to the department and maintenance of any database to have an efficient work environment and secure an effective system for the tracking and retrieval of the files / documents / e-documents or other information.
  • Assist the internal departments within DHRE with submission / monitoring of their legal service requests.
  • Responsible for handling sensitive information with discretion and maintaining confidentiality at all times.
  • Act as a liaison between DH Legal and DHRE Legal and the DHRE business with respect to litigation matters and manage the submission of legal service requests to the DH Litigation team.
  • Monitor and manage the Litigation and Arbitration Monthly Tracker. Monitor and manage the legal budget in coordination with HOL.
  • Assist the lawyers with translation requests.

Qualifications, Experiences, Skills:

  • Minimum 3 -5 years in similar legal secretarial role
  • Highschool degree / Legal secretarial qualification
  • Computer literacy in MS Office
  • Proficiency in Microsoft Office applications, in particular MS Word
  • Proficient in proofreading, editing, and formatting legal documents
  • Document Management
  • Organizational and time-management skills
  • Attention to detail
  • Excellent verbal and written communication skills - high standard of spoken and written English
  • Be able to multi-task
  • Meeting deadlines and managing workload
  • Discretion and confidentiality in handling sensitive legal information
  • Ensuring compliance with internal policies and procedures
