The Practice Manager will oversee and manage all operational aspects of the Zoo Veterinary Center. This includes managing the daily operations, ensuring compliance with animal welfare standards, and supporting the team of veterinary professionals. The role requires an individual with leadership skills and veterinary experience.
The ZVC practice management oversees operations and ensures a positive work environment to meet organizational goals. Responsibilities include handling the business intricacies effectively, managing a diverse team—front desk staff, reception team, groomers, cleaners, accountants, pet hotel caretakers, dog trainers—and conducting regular performance appraisals. It involves enhancing client services through effective communication while maintaining a practice philosophy to attract new clients and retain existing ones. Additionally, tasks entail resolving pet owner complaints and financial issues by continuously refining policies, SOPs, and work protocols.
Strategic duties include designing plans aligned with ZVC’s mission and vision, overseeing recruitment, marketing campaigns, hospital software, and safety procedures, and collaborating with municipality and MOCCAE regarding regulations. Financial management covers accounts receivable, reconciliation, budgeting, tax planning, and inventory, while promoting client-centered care programs. Other efforts involve internal marketing, periodic audits, staff education, vehicle maintenance scheduling, and updating operational handbooks and job descriptions, all with the aim of ensuring seamless daily ZVC operations. Vets are supported to focus solely on practicing medicine and achieving the best veterinary care in the market.
Responsibilities
- Providing business management services and overseeing operations in the Zoo Veterinary Center.
- Manage the front desk, reception team, groomers, cleaners, accountants, pet hotel caretakers, dog trainers, and carry out their regular performance appraisals.
- Ensure a positive work environment to allow the practice to achieve its goals.
- Work on minimizing costs and raising revenue.
- Maintain the practice philosophy for attracting new clients and retaining existing ones.
- Resolve pet owner complaints and financial problems, working to avoid them by continuous development of policies, SOPs, and work protocols.
- Ensure that the ZVC team provides quality care while generating adequate revenues to remain profitable.
- Initiate new programs and market services through public relations campaigns.
- Design strategies that guide the center to achieve its target mission and vision.
- Negotiate best prices and plan for periodic audits.
- Keep communicating with the municipality and MOCCAE to be updated with any new legislation and regulations.
- Manage human resources work, including hiring and training operational staff.
- Manage hospital software and implement safety and security procedures.
- Resolve staff issues and help in continuous staff education.
- Promote internal marketing programs to increase client visitation rates.
- Ensure that all paperwork and software tasks are achieved smoothly.
- Manage public relations, cooperate with the marketing and sales department by providing strategies and guidance to achieve their targets through effective advertising and campaigns.
- Allow vets to focus solely on practicing medicine rather than the many details of running a business.
- Manage front desk financial reporting, including accounts receivable, income reconciliation, credit, accounts payable, inventory, budgeting, tax planning, tax return, and setting fees.
- Ensure that daily operations run smoothly in the clinic.
- Develop schedules for the ZVC and vehicle maintenance.
- Promote a client-centered environment and facilitate programs and processes that meet client needs.
- Develop and update the operational employee handbook, job descriptions, and employee personal files.
- Oversee the daily operations of the Zoo Veterinary Center, ensuring that the facility is clean, organized, and compliant with all health and safety regulations.
- Maintain accurate records of the ZVC patients.
- Ensure the proper management and administration of veterinary supplies, including medicines, equipment, and consumables.
- Manage staff schedules and ensure adequate coverage for all shifts, particularly in emergency situations.
- Foster a collaborative and positive working environment for the team.
- Ensure the highest standards of animal welfare are maintained in accordance with local and international guidelines.
- Manage the ordering of non-medical supplies and supervise their storage.
- Manage the budget for the veterinary practice, including supplies, medications, equipment, and staff resources.
- Monitor and track expenses to ensure the practice stays within budget while maintaining high standards of care.
- Manage inventory of veterinary supplies and equipment in an efficient and cost-effective manner.
- Ensure compliance with all local regulations and health and safety standards for veterinary practices.
- Maintain emergency procedures and ensure that the veterinary practice is equipped to handle emergencies.
- Ensure that all documentation related to animal care and finance is up-to-date and in compliance with legal requirements.
- Provide regular reports on animal health trends, veterinary treatments, and the overall performance of the veterinary practice to senior management.
- Assist in the development and implementation of policies and procedures related to animal care and medical treatment.
- Perform other duties as assigned by management.
Requirements
Qualifications and Skills:
- Education: Preferred Degree in Veterinary Medicine (DVM or equivalent) and qualifications in business management, administration, or related fields.
- Experience: Minimum of 3 years’ experience in veterinary practice, with at least 2 years in a managerial or supervisory role.
- Skills: Strong leadership and people management skills, excellent communication and interpersonal skills to work effectively with a wide range of people, including pet owners, veterinary staff, and animal care teams, strong problem-solving and decision-making abilities, and proficiency in veterinary management software and standard office applications (Excel, Word, etc.).

High school diploma or equivalent is required. Previous cashier or customer service experience is preferred. Strong communication skills in English; additional languages are a plus.
