Job description

Our client is looking for an Arabic speaking Legal Secretary to join their law firm.

Responsibilities will include:

  1. Create and amend documents, correspondence and emails, using audio dictation and manuscripts to a high degree of accuracy within tight deadlines.
  2. Prepare and format documents in house style.
  3. Use electronic track changes for document comparison and composite software.
  4. Be familiar with a multitude of different legal documents with the ability to perform a basic review.
  5. Provide support to colleagues regarding standard form documents.
  6. Provide comprehensive support to all members of Group Legal including administrative liaison with external advisors.
  7. Be proficient in the use of Word, Excel, Visio, Outlook and PowerPoint and other standard applications.
  8. Maintain and update precedent system, legal services resource library and e-library of standard forms and templates.
  9. Maintain complex Group Legal filing systems and control records for legal documentation used, created and reviewed by Group Legal.
  10. Handle confidential material and ensure the code of confidentiality is kept at all times whilst maintaining professional office etiquette and discretion.
  11. Handle incoming correspondence for the Executive Director- Legal (including e-mails, faxes and post) and deal with them as appropriate.
  12. Assist in the organisation of meetings and conferences.
  13. Answer the telephone in a polite, courteous and professional manner.
  14. Perform other duties that the Executive Director- Legal and/or management may from time to time reasonably require.

Minimum Requirements:

  1. Be educated to a minimum A-level (or equivalent) standard of education.
  2. Possess formal secretarial qualifications.
  3. Have a minimum of five years' senior secretarial/administrational experience in an international law firm or in-house legal department of a multi-national company.
  4. Be familiar with and able to uphold confidentiality requirements.
  5. Have excellent written and spoken English with strong communication skills.
  6. Demonstrate acute attention to detail.
  7. Have excellent IT skills (Word, Excel, Visio, PowerPoint and Outlook) and a minimum typing speed of 60 wpm and be able to undertake audio dictation.
  8. Have problem solving ability.
  9. Have the ability to identify areas of improvement and act on them.
  10. Have an excellent telephone manner.
  11. Have confidence, enthusiasm, energy and a proactive flexible approach to work tasks.
  12. Be able to take initiative to get jobs done autonomously, but know when to ask for assistance or clarification.
  13. Be highly professional and a strong internal-client focus with an ability to work closely with others as a team member.
  14. Have the ability to organise, prioritise and multi-task workloads whilst maintaining a flexible approach.
  15. Have the ability to build relationships with a diverse range of people.

Salary: AED17-19,000 depending on experience.
