Fortes Education is seeking an experienced Administrative Assistant at Regent International School in the UAE. The role focuses on delivering high-quality administrative support, answering calls, coordinating events, and maintaining attendance records within a safeguarding-aware environment.

The ideal candidate holds a university degree (preferably in Business Administration) and 4–5 years of cross-functional admin experience, with strong MS Office skills and excellent communication abilities.

Qualifications

  • Graduate in any discipline, preferably Business Administration, with 4–5 years of administrative experience.
  • Strong written and verbal communication with ability to build relationships.
  • Excellent computer skills with Word, Excel and PowerPoint.
  • Interpersonal skills and ability to work with all levels of staff.
  • Experience in a school/education sector in the UAE is preferred but not required.
  • Ability to manage multiple projects and priorities.

Responsibilities

  • Provide outstanding administrative support to the school operations team.
  • Answer and triage telephone calls in a friendly, professional manner.
  • Support preparation and execution of school events.
  • Identify lateness/absence patterns and report concerns to Attendance/Pastoral team.
  • Prepare attendance summaries and maintain records.
  • Assist with front desk/reception duties when required.
  • Ensure compliance with safeguarding and data protection policies.

Job Role

We are looking to appoint an experienced and enthusiastic Administrative Assistant at Regent International School.

  • To provide outstanding administration support for the school, ensuring it operates efficiently and effectively.
  • To answer the telephone in a friendly, professional, and efficient manner - to troubleshoot and solve problems where appropriate, be proactive in decision-making, and support in addressing issues.
  • To support and manage the preparation and execution of School events.
  • Assist in identifying patterns of lateness or absence and report concerns to the Attendance Officer or pastoral team.
  • Prepare basic attendance summaries and reports as requested.
  • Maintain accurate digital and physical attendance records.
  • Support the preparation of attendance documentation for internal review or inspection.
Safeguarding & Student Welfare
  • Escalate any attendance concerns immediately to the designated safeguarding lead or relevant senior staff.
  • Support secure student sign-in and sign-out procedures.
  • Maintain strict confidentiality when handling student information.
  • Ensure attendance procedures align with safeguarding expectations.
Administrative Support
  • Provide general administrative assistance to the school operations team.
  • Maintain organised filing systems and student records.
  • Draft routine correspondence related to attendance.
  • Support front desk or reception duties when required.
  • Assist with school events and reporting processes as needed.
Professional Standards
  • Follow school policies relating to attendance, safeguarding, and data protection.
  • Demonstrate professionalism and courtesy when communicating with parents and staff.
  • Contribute positively to the smooth running of the school’s administrative systems.
  • Engage in relevant training and professional development as required.
Job specification
  • Are a Graduate in any discipline, preferably Business Administration with a minimum of 4-5 years of professional administrative experience working effectively in a dynamic and in a cross-functional environment.
  • Ability to effectively communicate information and ideas in written and verbal format and build and maintain relationships.
  • Strong computer skills with demonstrated proficiency in Word, Excel, PowerPoint, etc.
  • Excellent interpersonal skills with the ability to work effectively with all levels of staff and management.
  • Experience in a school or an education sector in the UAE is preferred but not essential.
  • An excellent communicator, both written and verbal, and have experience building interpersonal relationships with diverse audiences.
  • Good technical understanding and should be able to grasp, understand & use various software & tools
  • Ability to work effectively in a cross-functional team environment.
  • Ability to manage and prioritize multiple projects and tasks simultaneously.
  • Strong computer skills with demonstrated proficiency in Word, Excel, PowerPoint etc.
  • Ability to take initiative to manage workflow and priorities
