Job description

We are seeking a proactive and detail-oriented Administrative Assistant to support the operational and administrative functions of our Real Estate Division at our Dubai office.

The ideal candidate will be involved with the coordination and implementation of office procedures; and will have prior experience in real estate or valuation, and be comfortable handling sensitive documents, coordinating with internal and external stakeholders, and ensuring smooth documentation workflows across the department. In some cases, oversee and supervise the work of junior staff. Most work involves both written and oral communication, word processing and typing, and requires relevant skills such as IT, organisational and presentation skills, as well as the ability to multi-task and work well under pressure, often juggling several tasks at once.

Responsibilities

  • Provide administrative support to the real estate valuation team, including scheduling meetings, managing calendars, and handling correspondence.
  • Assist in preparing valuation reports, proposals, client documentation, and internal trackers.
  • Coordinate with surveyors, analysts, and valuers for timely submission of reports and deliverables.
  • Maintain organized records of property data, market research, valuation reports, and project files (digital and physical).
  • Track project timelines, follow up on pending tasks, and ensure adherence to internal deadlines.
  • Assist with basic quality checks on documents and formatting reports as per company standards.
  • Communicate with clients and external agencies for data collection, document submission, and appointment scheduling.
  • Support in compiling property databases and comparable evidence for valuation purposes.

Qualifications & Requirements

  • Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field.
  • Relevant experience in real estate or valuation domains is preferred.

  • Proficiency in Microsoft Office
