About The Opportunity

A professional services firm operating in the Management Consulting sector in the United Arab Emirates is hiring an on-site Administrative Assistant to support client-facing teams and internal operations. This role is ideal for organised, proactive administrative professionals who thrive in fast-paced, client-focused environments and who can deliver high-quality office support across front-desk, calendar, and document workflows.

Role & Responsibilities
  • Manage day-to-day office operations: reception duties, mail handling, supplies procurement, and vendor coordination to ensure a smooth workplace.
  • Maintain executive and team calendars—schedule meetings, prepare agendas, book meeting rooms, and coordinate virtual/in-person attendance.
  • Prepare, format, and proof client-facing documents, presentations, and reports using MS Office; ensure version control and secure filing.
  • Coordinate domestic and international travel arrangements, itineraries, and expense submissions for consultants and visitors.
  • Serve as the primary point of contact for internal and external stakeholders—field calls, manage enquiries, and escalate issues appropriately.
  • Support HR and finance processes as needed (onboarding coordination, timesheet collection, invoice routing) while maintaining confidentiality and data accuracy.
Skills & Qualifications

Must-Have

  • High school diploma or equivalent; diploma/associate degree in business administration is a plus.
  • 1–4 years of hands-on administrative experience in professional services, consulting, corporate office, or similar environments.
  • Strong Microsoft Office skills (Excel, Word, PowerPoint, Outlook) and comfort learning office systems (document management, booking tools).
  • Professional verbal and written communication in English; working knowledge of Arabic preferred.
  • Excellent organisation, time management, and the ability to prioritise multiple requests under tight deadlines.
  • Valid legal right to work in the UAE or willingness to complete visa/employment formalities on hiring.
Preferred
  • Previous experience supporting senior managers or consultants in a management consultancy or professional services firm.
  • Familiarity with expense systems, basic bookkeeping, or HR onboarding processes.
  • Customer-service orientation with proven front-desk or client liaison experience.
