Administrative Assistant
Job description
- Prepare and process new listings, including MLS entry, signage, lockboxes, and marketing materials.
- Coordinate listing documentation and ensure compliance with all legal and brokerage requirements.
- Maintain accurate records of all listings and update databases as needed.
- Communicate with agents, clients, photographers, and vendors regarding listing timelines and marketing efforts.
Reception & Front Desk Duties:
- Greet and assist clients, guests, and agents in a professional and welcoming manner.
- Answer and direct incoming calls, emails, and messages.
- Maintain the cleanliness and organization of the reception area and common spaces.
- Manage incoming and outgoing mail, deliveries, and courier services.
Office Administration:
- Monitor and order office supplies and equipment as needed.
- Assist with scheduling, calendar management, and internal communications.
- Help coordinate meetings, training sessions, and events.
- Provide administrative support to agents and office leadership as required.
Desired Candidate Profile:
- Previous administrative experience, preferably in real estate or a professional office setting.
- Knowledge of real estate platform is a plus.
- Strong communication and customer service skills.
- Highly organized with excellent attention to detail.
- Proficient in Microsoft Office Suite and general office technology.
- Ability to handle multiple tasks and deadlines with a positive, can-do attitude.
