Job description

  • Prepare and process new listings, including MLS entry, signage, lockboxes, and marketing materials.
  • Coordinate listing documentation and ensure compliance with all legal and brokerage requirements.
  • Maintain accurate records of all listings and update databases as needed.
  • Communicate with agents, clients, photographers, and vendors regarding listing timelines and marketing efforts.

Reception & Front Desk Duties:

  • Greet and assist clients, guests, and agents in a professional and welcoming manner.
  • Answer and direct incoming calls, emails, and messages.
  • Maintain the cleanliness and organization of the reception area and common spaces.
  • Manage incoming and outgoing mail, deliveries, and courier services.

Office Administration:

  • Monitor and order office supplies and equipment as needed.
  • Assist with scheduling, calendar management, and internal communications.
  • Help coordinate meetings, training sessions, and events.
  • Provide administrative support to agents and office leadership as required.

Desired Candidate Profile:

  • Previous administrative experience, preferably in real estate or a professional office setting.
  • Knowledge of real estate platform is a plus.
  • Strong communication and customer service skills.
  • Highly organized with excellent attention to detail.
  • Proficient in Microsoft Office Suite and general office technology.
