Job Overview

We are looking for a bilingual (Chinese-English) Administrative Assistant to join our growing team. This person will be the face of our office — ensuring a welcoming atmosphere for guests while supporting internal operations through a variety of administrative duties.

Key Responsibilities

  • Greet and assist visitors, clients, and guests in a professional and friendly manner
  • Answer incoming calls and manage front desk inquiries in both English and Chinese
  • Manage meeting room bookings, office supply inventory, and courier arrangements
  • Support basic administrative functions such as data entry, filing, and document organization
  • Coordinate schedules, travel arrangements, and internal appointments as needed
  • Help organize internal meetings and team events
  • Maintain a clean, orderly reception and shared office space
  • Provide general support to the management team and assist with ad-hoc tasks

Requirements

  • Fluency in both English and Mandarin Chinese (spoken and written)
  • Strong interpersonal and communication skills
  • Proactive, organized, and detail-oriented
  • Prior experience in a front desk or admin role preferred
  • Professional presentation and customer service mindset
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

Working Hours

  • Monday to Friday
  • 9:00 AM – 6:00 PM
  • (Occasional flexibility may be required for events or meetings)
