Description

The Opportunity

This role provides full administrative and secretarial support to the Dean, Associate Dean, Assistant Dean, and faculty to ensure that college functions are effectively mirrored in Abu Dhabi and Dubai. The ideal candidate will operate professionally, maintaining confidentiality within the supervisor's office and ensuring the smooth and efficient execution of duties with high accuracy. Strong written and oral communication skills, attention to deadlines, and a positive customer-oriented attitude are essential.

The Responsibilities
  • Arrange transportation, meetings, and appointments; book meeting rooms; order catering; organize equipment for events or class projects; inform attendees of meetings.
  • Prepare English/Arabic correspondence for community or industry contacts.
  • Contact individuals/organizations on behalf of the faculty if requested.
  • Handle the Attendance Minder when faculty miss taking attendance.
  • Notify classes and take attendance when faculty are delayed or absent due to conferences or sickness.
  • Create and maintain an organized filing system according to university and college procedures.
  • Maintain college notice boards with information on activities, opportunities, and achievements.
  • Collect mentions of the college and student events from traditional and social media.
  • Greet visitors and liaise with staff on behalf of the Dean, Associate Dean, and Assistant Dean.
  • Assist the Dean in managing daily schedules.
  • Answer telephone queries and take messages for senior staff.
  • Prepare correspondence, presentations, and reports in formats consistent with Abu Dhabi and Dubai standards.
  • Maintain files and informational materials for visitors.
  • Create and manage spreadsheets and databases on student grades, major status, credit hours, and other data to meet accreditation standards.
  • Coordinate campus activities, such as Majors Day, including setting up booths, preparing materials, and managing logistics.
  • Escort students to off-campus activities and accompany faculty and students on international study programs.
  • Work with the Registrar during student registration, ensuring compliance with college requirements and maintaining data for accreditation.
  • Organize and distribute mail, dispatches, faxes, photocopies, and scans. Maintain office machinery.
  • Order stationery and supplies as needed.
The Requirements
  • Possess a diploma from an accredited institution with at least 1 year of experience in a similar role or an equivalent combination of education, skills, or experience.
  • Excellent oral and written communication skills in English; bilingual in English and Arabic preferred.
  • Experience in undergraduate majors or communications-related fields is an asset.
  • Proficient in Microsoft Office Suite and capable of managing office technology and software.
