Job Purpose

Responsibilities
  1. Plan and execute administrative functions related to leave distribution, manpower deployment, and stores management in accordance with company regulations.
  2. Ensure optimal utilization of resources to cover 24-hour shift operations while maintaining quality service delivery and adherence to SOP.
  3. Maintain adequate stationery supplies, liaise with Customs regarding unclaimed baggage, and ensure all equipment is functional for smooth operations.
  4. Monitor the daily schedule of the Department Head/Skywards Leadership Team and prepare necessary documentation for meetings and appointments.
  5. Provide secretarial support to senior management efficiently and promptly.
  6. Liaise professionally with internal and external contacts on behalf of the Department Head/Skywards Leadership Team.
  7. Screen and respond to incoming mails and calls, redirect correspondence, and gather additional information as needed.
  8. Supervise attendance records, overtime, and travel claims, ensuring compliance with financial guidelines and policies.
  9. Verify the authenticity of claims, ensure accurate recording, and analyze department cost reports for budget control.
  10. Assist in departmental engagement initiatives such as staff events and celebrations.
  11. Handle high-profile member requests and complaints related to Skywards, ensuring timely and appropriate responses.
Qualifications & Experience
  • Minimum 3 years of experience in administration.
  • 12 years of schooling or equivalent.
  • Experience in a similar administrative environment preferred.
  • Proficiency in MS Office, Company systems (TER/ROS), and Resource Management Systems.
