Alokozay Group of Companies is seeking a detail-oriented Admin & Procurement Executive to provide administrative and procurement support, ensuring efficient office operations. The ideal candidate will have a proven track record in administration and procurement, strong analytical skills, and effective communication abilities.
Key Responsibilities
Admin Duties
- Answer phone calls, direct inquiries, and take messages.
- Handle incoming and outgoing mail, including emails and physical correspondence.
- Maintain office supplies and inventory.
- Organize and schedule appointments and meetings.
- Assist with data entry and maintain accurate records.
- File and organize documents both physically and digitally.
- Schedule and organize meetings, including setting up rooms, equipment, and refreshments.
- Assist with travel arrangements, including booking flights, accommodation, and transportation.
- Provide support to senior staff and management as needed.
Procurement Responsibilities
- Oversee the end-to-end procurement process, from requisition to delivery, ensuring adherence to company policies.
- Collaborate with suppliers to obtain quotes, negotiate terms, and place purchase orders.
- Maintain records of purchases, pricing, and supplier performance.
- Follow up to ensure timely issuance of purchase orders, delivery, and payments.
- Assess procurement needs with internal teams and support the process before and after issuing Purchase Orders.
- Conduct market research to identify potential suppliers.
- Prepare and issue purchase orders and related documentation.
- Build strong relationships with suppliers and negotiate favorable contracts.
- Maintain procurement data and reports, and coordinate logistics for seamless delivery.
Desired Candidate Profile
Skills and Qualifications
- Bachelor’s degree in Administration, Office Management, Procurement, or related field.
- At least 4 years of experience in administration and procurement in the UAE.
- FMCG experience preferred; candidates from Manufacturing, Trading, or Construction industries will also be considered.
- Knowledge of procurement strategies and best practices.
- Strong negotiation skills and supplier relationship management.
- Proficiency in Oracle, SAP, or similar ERP systems, and Microsoft Office (especially Excel).
- Strong analytical skills and data handling capabilities.
