Overview

Collaborate closely with the Operations and Administrative teams to ensure seamless support across all facets of operations. Coordinate efforts to streamline administrative processes, manage schedules, and facilitate communication between departments to optimize workflow efficiency. Uphold meticulous attention to detail in documentation and recordkeeping while maintaining the utmost confidentiality. Foster a cohesive and productive environment, prioritizing organizational excellence and client satisfaction in every aspect of support provided.

Qualifications
  • Previous administration experience within an office environment.
  • Strong communication skills, fluent in English and Arabic, both verbal and written, with excellent interpersonal skills.
  • Smart and presentable.
  • Excellent administrative skills.
  • Able to work independently.
  • Attention to detail and a high level of accuracy.
  • Ability to take ownership of problems and act quickly.
  • Good computer skills, including Microsoft Outlook, Word, and Excel.
  • Mature approach to dealing with people at all levels of the organization.
  • Ability to learn and retain information within a reasonable time frame.
  • Reliable with good timekeeping.
Responsibilities
  1. Provide administrative support to the Project Management Team.
  2. Assist the Heads of Department in administrative roles when required.
  3. Implement and maintain procedures to ensure continuous administrative service.
  4. Ensure all purchase orders are processed and approved for payment, with margin sheets and competitive quotations attached.
  5. Provide cover for reception when required.
  6. Handle occasional reception duties such as typing and distribution of purchase orders.
  7. Support the Accounts Department with day-to-day administrative tasks as necessary.
  8. Assist with booking support crew and compiling accreditation details.
  9. Organize catering requirements for onsite delivery.
  10. Ensure company policies, rules, procedures, and obligations are observed in all duties.
  11. Support the Operations and Logistics teams as required.
