What is this role?
As an office manager you'll be responsible for overseeing daily office operations, managing administrative tasks, and supporting team efficiency. Duties include coordinating schedules, maintaining office supplies, handling correspondence, organizing meetings, and ensuring smooth workflow across departments. Strong communication, multitasking, and problem-solving skills are essential.
Description:
Key Responsibilities:
- Client Coordination
- Collect cheques from clients via courier services (Aramex, Careem) or through personal visits
Financial Operations:
- Deposit cheques at ATMs, through cheque scanners, or using Capricon systems
- Maintain accurate records of all cheques, including cheque numbers, deposit dates, and clearance status
- Manage the return of security and closed contract repayment cheques to clients
- Issue VAT invoices, process refunds, and handle related documentation
- Handle collection efforts through calls, emails and manage the relationship with the third party service providers
Administrative and HR Support:
- Coordinate visa processing and other PRO (Public Relations Officer) activities
- Managing health insurance for all team members in UAE
- Supporting UAE recruitment efforts in scheduling interviews and screening candidates
Requirements
- 3-4 years of experience in administrative or office management roles
- Based in Dubai
- Proficiency in office software (e.g., MS Office Suite, Google Workspace)
- Excellent organizational and time-management skills
- Strong written and verbal communication abilities
- Attention to detail and problem-solving skills
- Ability to multitask and prioritize tasks effectively
- Professionalism and discretion when handling confidential information
