Job description

We are seeking a highly organized and detail-oriented Admin and Listing Coordinator with real estate experience to join our team. The ideal candidate will be responsible for managing administrative tasks, coordinating property listings, and ensuring seamless communication between clients, agents, and vendors. This role requires excellent organizational skills, proficiency in real estate platforms, and a proactive approach to supporting a dynamic real estate office.

Key Responsibilities:

  1. Prepare and manage real estate listings, including MLS entries, property descriptions, and marketing materials.
  2. Handle office administrative tasks, including data entry, scheduling, and document management.
  3. Serve as a point of contact for clients, agents, and vendors to facilitate seamless transactions.
  4. Create and distribute promotional materials, manage social media updates, and assist with online marketing efforts.
  5. Ensure all listing documents and compliance requirements are met and properly filed.
  6. Schedule showings, open houses, and appointments for real estate agents.
  7. Maintain and update CRM and other databases with client and property information.
  8. Communicate with photographers, inspectors, and contractors to arrange property-related services.

Requirements:

  1. Previous experience in real estate administration, listing coordination, or transaction management.
  2. Proficiency in CRM software and real estate marketing tools.
  3. Strong organizational and multitasking skills with attention to detail.
  4. Excellent communication and customer service skills.
  5. Ability to work independently and collaboratively in a fast-paced environment.
  6. Familiarity with real estate contracts and compliance regulations is a plus.
  7. Proficient in Microsoft Office Suite, Google Workspace, and social media platforms.
  8. High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
