Soffit Design is a leading provider of high-end stretch ceiling solutions in the UAE. We're expanding and seeking a motivated, detail-oriented Admin & Finance Coordinator to join our growing team. The right candidate will support our daily operations by ensuring accurate recordkeeping, smooth documentation flow, and effective communication across departments and with clients.

Key Responsibilities:

Admin & Office Support

  • Maintain organized filing systems for project documentation, quotations, and contracts
  • Prepare and format documents, letters, estimates, and reports
  • Track client communications and project timelines
  • Support procurement processes (enquiries, supplier follow-ups, delivery coordination)
  • Coordinate schedules and appointments for the project team
  • Liaise with clients and suppliers for updates, deliveries, and follow-ups

Finance & Accounting Support

  • Prepare and send invoices, track payments, and follow up on outstanding amounts
  • Process petty cash, expense claims, and reimbursements
  • Maintain accurate records in Zoho Books or equivalent accounting software
  • Support in VAT filing and ensure compliance with UAE accounting standards
  • Organize receipts, bills, and statements for financial audits
Requirements:
  • At least 2–4 years of relevant admin/finance experience, preferably in the construction or interiors field
  • Strong command of English (written & spoken);
  • Good understanding of VAT, invoicing, and local documentation standards
  • Proficient in Microsoft Office (Word, Excel), Google Workspace; Zoho Books is an advantage
  • Strong organizational skills, with attention to detail and a proactive mindset
  • Ability to manage multiple tasks and meet deadlines
  • Must be currently based in the UAE and available to start soon
