Job Responsibilities
  • Assist with department work overflow and/or absence.
  • Manage reception along with the receptionist on a daily basis.
  • Support staff in assigned project-based work.
  • Prepare and maintain purchase orders, liaise with suppliers.
  • Support the Admin Manager for all Dubai and JAFZA office admin matters.
  • Assist senior management with tasks like arranging meetings, travel, transport, accommodation, and restaurant reservations.
  • Organize meetings (internal/external), events, and conferences.
  • Maintain an organized filing/archiving system for all office records and documents.
  • Order and maintain office supplies, business cards, and coordinate with facility management for maintenance issues.
  • Manage office supplies, equipment, furniture, computer and telephone services, and product orders.
  • Contribute to team efforts by accomplishing related results as needed.
  • Support tasks related to the efficient and smooth running of the front desk/office.
  • Streamline daily admin processes and procedures.
  • Maintain databases and track important deadlines.
  • Manage couriers, telephones, expense declarations, and driver bookings, mainly related to reception.
  • Arrange meals for office visitors, senior management, and during events like meetings, workshops, and client visits.
Qualifications & Experience
  • Minimum 3-4 years experience as an Admin Assistant or Receptionist.
  • Excellent communication skills in English, both verbal and written.
  • Must be immediately available to join and have a valid UAE visa.
  • UAE driver's license is preferable.
  • Strong problem-solving, judgment, and critical thinking skills using data analysis and interpretation.
  • Willingness to learn, adapt, and embrace new situations.
  • Open to new experiences, people, and information.
  • Desire to excel and develop new skills.
  • Excellent organization, multitasking, and time management skills.
