What You'll Be Doing
  1. Perform general clerical duties including typing, photocopying, faxing, mailing, and filing.
  2. Respond to, sort, and distribute incoming correspondence, including phone calls, faxes, and emails.
  3. Coordinate the collection, distribution, and dispatch of correspondence, couriers, letters, and bills related to the division or department.
  4. Distribute internal communications regarding updates within the division or department to ensure all personnel are informed.
  5. Manage the supply and maintenance of office equipment as required.
  6. Prepare administrative documents such as tender specifications, client quotations, purchase orders, agreements, and contracts.
  7. Assist with filing and document control activities to ensure proper storage and accessibility of documents.
  8. Develop and update spreadsheets, reports, documents, and presentations as needed.
  9. Draft routine letters, memoranda, reports, presentations, and minutes of meetings.
  10. Maintain and update data in internal files, records, and databases.
  11. Schedule appointments and coordinate arrangements for meetings and events.
  12. Ensure confidentiality of sensitive documents and information.
  13. Assist in coordinating, supervising, and completing special projects as needed.
