Apt Resources is hiring an Admin Assistant for our client, a specialized engineering and technical services company operating across the GCC region. This position is ideal for someone with experience in a small or medium-sized company within the engineering maintenance or service industry. The ideal candidate should be organized, proactive, and possess strong logic and common sense.

Key Responsibilities:
  1. Expense Entry and Record Keeping:
    • Enter and update daily operational and project-related expenses in the accounting software.
    • Ensure financial records are properly documented and easy to retrieve when needed.
  2. Invoice Preparation:
    • Prepare and issue proforma invoices for service and technical jobs.
    • Ensure invoices are accurate, complete, and shared with clients on time.
  3. Documentation Management:
    • Compile and share documents required by clients, including gate passes and job sheets.
    • Coordinate with the PRO for document submissions and follow-ups.
  4. Logistics and Shipment Coordination:
    • Communicate with suppliers and logistics companies to track and schedule deliveries.
    • Keep updated records of all incoming items and follow up on pending consignments.
  5. Administrative Support:
    • Perform general office tasks such as filing, scanning, printing, and organizing records.
    • Support the office team with daily administrative tasks.
Requirements:
  • Previous experience in an administrative role, preferably within the engineering or technical services industry.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and project management software.
  • Familiarity with engineering concepts and terminology is a plus.
  • Ability to work in a fast-paced environment and manage deadlines effectively.
