Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant with a focus on compliance to join our team. In this dual role, the ideal candidate will provide comprehensive administrative support while ensuring adherence to internal policies and regulatory requirements. This position requires a proactive individual with strong multitasking abilities, excellent communication skills, and a solid understanding of both administrative and compliance functions.

Key Responsibilities:
Administrative Responsibilities:

  • Manage and maintain office schedules, appointments, and meetings.
  • Prepare and organize meeting materials, agendas, and minutes.
  • Handle confidential information with discretion and professionalism.
  • Assist with the preparation of reports, presentations, and other documents.
  • Manage communication channels, including emails, phone calls, and general correspondence.
  • Liaise with internal and external stakeholders on behalf of the team.
  • Perform general office duties such as filing, data entry, and office supply management.

Compliance Officer Responsibilities:

  • Ensure the company's policies and procedures are compliant with regulatory requirements.
  • Monitor and update internal policies and procedures as per legal and regulatory guidelines.
  • Assist in conducting compliance audits and assessments to identify potential risks.
  • Maintain records of compliance documentation and regulatory filings.
  • Provide support and training to staff on compliance-related matters.
  • Keep abreast of industry regulations and compliance trends to ensure the company stays up to date.

Technical Qualifications:

  • Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook.
  • Experience with Office Productivity Tools: Google Workspace (Docs, Sheets, Slides, Calendar).
  • Familiarity with communication tools such as Microsoft Teams or Zoom.
  • Ability to manage digital files and use document management systems.
  • Basic skills in data analysis and visualization using Excel or Google Sheets.
  • Basic understanding of social media platforms for business purposes is a plus.
  • Knowledge of compliance tools and regulatory databases is a plus.

Qualifications:

  • Bachelors degree in Business Administration, Management, Compliance, or a related field preferred.
  • Minimum of 1 year of experience in an administrative or compliance role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently and collaborate effectively within a team.
  • High level of professionalism and attention to detail.
  • Adaptability to changing priorities and tasks.
  • Knowledge of local and international compliance regulations is an advantage.
