The Accounts Payable Officer plays a crucial role in the financial health and integrity of an organization by managing and processing all activities related to company expenses, vendor payments, and staff reimbursements. This position requires diligent monitoring and controlling of the expenditures through systematic recording and verification processes. The individual is tasked with ensuring that all transactions comply with financial policies and accounting standards. The ideal candidate must possess strong analytical skills, attention to detail, and excellent communication capabilities to collaborate with different departments and vendors. Additionally, the Accounts Payable Officer must proactively resolve discrepancies and foster positive working relationships, facilitating smooth operational functions within the financial department.
Responsibilities
- Review and verify invoices for appropriateness and proper approval before payment.
- Ensure timely and accurate processing of vendor payments and staff reimbursements.
- Maintain and update vendor databases with relevant payment information.
- Communicate effectively with vendors to resolve billing and payment discrepancies.
- Prepare and process electronic transfers and payments for invoices.
- Monitor financial transactions to ensure compliance with financial policies.
- Assist in month-end closing by preparing reports and reconciling accounts.
- Handle expense report validation, ensuring adherence to company policy.
- Support the financial department in external and internal audits by providing required documentation.
- Develop and implement efficient accounts payable systems and processes.
- Prepare reports tracking expenditure analysis to aid budget management.
- Collaborate across departments to improve financial policies and accounts payable procedures.
Requirements
- Bachelor's degree in Accounting, Finance, or a related field required.
- Minimum of 2 years’ experience in an accounts payable role preferred.
- Proficiency in accounting software such as QuickBooks or SAP necessary.
- Strong analytical skills with a keen attention to financial detail required.
- Excellent written and verbal communication skills are essential.
- Demonstrated ability to manage time effectively and prioritize workloads.
- Proven capability to work both independently and in team settings.
