JOB PURPOSE:
The Accounts Payable role is responsible for managing and processing supplier invoices, ensuring timely and accurate payments in line with company policies. Reporting to the Finance Controller, this position supports financial reporting, maintains strong vendor relationships, and contributes to effective cash flow management.
KEY ACCOUNTABILITIES:
- Record supplier invoices promptly upon receipt of fully approved documentation.
- Process payments only after verifying complete and accurate supporting documents (e.g., PO, invoice, GRN).
- Review and close all prepayments and commitments on a monthly basis in coordination with the Stores & Logistics department; escalate delays or non-compliance to the Finance Manager as needed.
- Reconcile supplier balances regularly to maintain accurate records.
- Complete month-end closing activities and update MIS reports within the agreed timelines.
- Update the cash flow forecast on a weekly basis.
- Support the Finance Team during the year-end audit process.
- Undertake any additional duties as required by the line manager or business needs.
PERFORMANCE INDICATORS:
- Strengthen relationships with vendors through timely and accurate communication.
- Secure credit terms with all local vendors.
- Generate accurate payment forecasts to support financial planning.
- Monitor and ensure timely closure of supplier advances in collaboration with the operations team.
- Maintain accurate and up-to-date MIS reporting.
- Provide effective support during year-end audit activities related to accounts payable.
- Support year-end audit activities specifically related to Accounts Payable.
QUALIFICATIONS, EXPERIENCE & SKILLS:
Minimum Qualification:
- BSc in Finance, MBA, or ACCA/CA qualified
Minimum Experience:
- At least 5 years of proven work experience in Accounts Payable
Job Specific Skills:
- Sound understanding of IFRS principles
- Strong analytical and problem-solving abilities
- Proficiency in Microsoft Dynamics Navision
General Skills:
- Proficiency in MS Office, particularly Excel (pivot tables, VLOOKUP, data validation, etc.)
- Excellent written and verbal communication skills in English
- High level of accuracy and attention to detail
- Strong time management and organizational skills
- Ability to work under pressure and meet tight deadlines
- Problem-solving mindset with a proactive approach
- Strong interpersonal skills and the ability to work collaboratively in a team environment
- Confidentiality and professionalism when handling sensitive financial information
