Position Summary

The Finance Specialist plays a vital role in supporting financial operations, ensuring compliance with financial policies, and maintaining accurate financial records. This role involves auditing, managing transactions, handling payroll functions, and assisting with inventory management. The ideal candidate possesses strong analytical skills, attention to detail, and a commitment to financial accuracy and compliance in a fast-paced environment.

Key Responsibilities

  • Assist with audits to ensure compliance with financial policies and procedures.
  • Ensure adherence to financial controls and HESS protocols.
  • Conduct inventory audits in collaboration with the Inventory Manager, investigating variances and ensuring accurate reporting.
  • Perform spot checks of physical inventory across various onboard locations, including bars and storerooms.

Credit Card & Cash Handling

  • Manage daily gratuity postings and batch authorizations for credit card transactions.
  • Resolve outstanding guest balances promptly, ensuring timely payment processing.
  • Handle credit card processing, including manual authorizations when necessary.
  • Oversee foreign exchange transactions and maintain accurate cash float balancing.

Payroll & Teammate Financial Services

  • Assist in payroll management, teammate pay card functions, and reimbursement processing.
  • Serve as Crew Club Treasurer, maintaining Crew Welfare ledger records.
  • Manage travel expenses, cash advances for European crew, and CAPS payments for secondary jobs.
  • Work with the Inventory Manager to conduct physical inventory checks and update inventory records.
  • Ensure inventory counts are accurate and assist with processing daily Point of Sale (POS) files.

Guest Account Management

  • Monitor guest accounts, addressing outstanding balances, declined credit card transactions, and cash deposits.
  • Resolve financial disputes and guest inquiries, ensuring clarity and satisfaction.

Operational & Administrative Support

  • Support onboard hotel teams and participate in officer visibility events.
  • Assist in administering Special Services programs and balancing Gifts & Services vouchers.

Policy Adherence & Team Collaboration

  • Ensure strict adherence to financial policies, SOPs, and regulatory standards.
  • Foster a positive and collaborative environment within the finance department and across departments.

Skills, Knowledge & Expertise

Finance & Auditing Expertise

  • Proven experience in finance or accounting, with strong auditing and financial control knowledge (A minimum of 12 months' full-time professional work experience).
  • Ability to handle financial transactions with precision, including cash management and reconciliation.

Attention to Detail & Accuracy

  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Exceptional accuracy when managing cash handling, credit card transactions, and financial records.

Problem-Solving & Customer Service

  • Demonstrated ability to resolve financial discrepancies and guest financial issues with professionalism and empathy.
  • Strong communication skills for collaborating with internal teams and external stakeholders.

Technology & Compliance Knowledge

  • Familiarity with inventory management and Point of Sale (POS) systems is a plus.
  • Ability to maintain confidentiality and handle sensitive financial data with integrity.
