Transfer Agency – AVP

We are looking for an experienced professional to manage transfer agency functions for a portfolio of funds. The role focuses on AML/KYC processing, investor onboarding, fund documentation, reconciliation, and reporting while coordinating with internal teams and external custodians.
Key Responsibilities
- Act as the primary point of contact for fund investors, fund managers, and internal teams regarding fund documentation, investor registries, and AML/KYC processing.
- Apply knowledge of AML/KYC laws and guidelines set by MENA regulators, CIMA, and Apex AML Policies.
- Oversee all Transfer Agency functions, including AML/KYC, investor onboarding, share registry dealings, payments, and FATCA/CRS filings.
- Coordinate with operations and CRM teams to ensure timely completion of tasks.
- Understand fund structures (share classes vs. series) and publish pricing to vendors such as Bloomberg, Refinitiv, and Morningstar.
- Apply basic accounting principles to subscriptions, redemptions, and distributions, ensuring investor communications meet deadlines.
- Maintain working relationships with FA teams and keep them updated on TA activity included in NAV calculations.
- Manage fund audits for TA-related PBC requirements.
- Communicate effectively with investors and clients, handling any situations in line with Apex policies.
- Review TA-related aspects in Funds PPMs and coordinate with Corporate Secretary for waivers or board resolutions.
- Maintain knowledge of assigned funds, timelines, documentation, and related processes.
- Organize priorities to meet deadlines with exceptional attention to detail.
- Participate in special projects such as automation efforts, enhanced controls, system testing, and client research.
Core Functions
- AML screening and ongoing investor compliance checks.
- Collect and identify beneficial owners and shareholders.
- Maintain Investor Registers with static data and continuous KYC monitoring.
- Distribute investor communications via email, portal, or system-generated channels.
- Process subscriptions, redemptions, transfers, switches and certify bank information for wire transfers.
- Reconcile money movements related to subscriptions, redemptions, and distributions.
- Investigate reconciliation breaks and chase missing monies.
- Prepare client, fund manager, investor, and custodian/distributor reports across platforms such as PFS Paxus, Apex Connect, E-front, and Investment Café.
- Update family office investor accounts, including FATCA/CRS forms, TIN/GIIN verification, and tax status declaration.
Required Experience
- 5–7 years of experience, including a minimum of 3 years in a Transfer Agency role.
- Minimum of 2 years in a team leader or managerial position (suitable for an AVP).
