Business Need / Purpose of Role

Role – Boarding Executive – Marine Services

Location - Abu Dhabi, United Arab Emirates.

Reporting - Operations Manager.

The Boarding Executive shall primarily be responsible for boarding and attending to all types of vessels across various sectors calling in-port under Inchcape Agency viz. Container, Wet and Dry Bulk, Offshore, Cruise, RO-RO etc. to secure required information and details as well as communicate information, regulations and ensuring smooth turnaround while delivering positive experience of Inchcape’s agency services.

The post holder shall also be responsible for co-ordination and performing vessel port call activities at all ports serviced by Inchcape, efficiently and independently. Servicing all vessel requirements while in-port. Expedite timely approvals from local port authorities, immigration, customs, coastguard, FTA and other government bodies and stakeholders to ensure fast turnaround / services for vessels under Inchcape Agency.

Objectives & Measurement – Key Responsibilities

  • Timely vessel attendance onboard during various stages of vessels port stay - on-arrival - berthing - sailing at various ports where Inchcape operates.
  • Establish and maintain excellent working relations with port authorities, customs, immigration departments for providing excellent service to ships and clients.
  • Assist vessel operator in preparation of all pre-arrival, arrival and departure information and cargo documentation.
  • Perform immigration and customs clearances of vessel, crew within the stipulated Port regulations and timelines.
  • Update the vessel operator on information that will affect the port call, port stay, cargo operations, gang requirements and timings, pro-actively eliminate any operational bottlenecks, delays.
  • Coordinate with all parties - Vessel operator, Port and third party Suppliers / contractors for smooth vessel turnaround.
  • Monitor cargo operations and ensure timely and regular updates are distributed to all parties concerned.
  • Maintain all records of vessel documentation - Pre-arrival, NOC’s, and Custom Manifests, Immigration, Vessel and crew certifications.
  • Coordinate with all parties - internal and external for timely arrangements and deliveries of spares, courier, CTM, Provisions, waste skip requirements and removal and services as needed.
  • Crew change activities - meet and assist crew, personnel, ensure efficient clearance of crew and landed items through Immigration and customs. Update all concerned parties on any changes such as shore leave procedure, port shuttle bus times, port working / break hours.
  • Coordinate with Inchcape support service - Crew desk - arrange / provide documentation for visa, hotel stay, transportations for on-signers, off-signers, superintendents, techs etc.
  • Coordinate with Inchcape support service - Spares desk or locations to clear and deliver spares arriving to / from vessels.

Knowledge, Skills, and Abilities

  • Competent user of the Microsoft Office suite including Outlook, Excel, and Word.
  • Ability to communicate verbally / in writing in a clear and concise manner.
  • Balance multiple tasks, changing priorities & operate within a deadline-oriented environment.
  • Good interpersonal relationship in managing people / subordinates, planning, organizing.
  • Excellent attention to minute details.
  • Self-driven, organized, good communication skills.

Education, Qualifications, Certifications, and Licenses

  • Years hands-on experience in Boarding / Ports Operations.
  • Relevant experience of working within a Shipping Agency Industry.
  • Good level of Coordination.
  • Valid UAE driving license is required for this role.
  • Experience of working to pre-defined processes and procedures and delivering work in accordance with SLA (Service Level Agreements).
  • Having a good knowledge of customer base and their requirements.
