Key Responsibilities
  • Ensure on-time collections by your couriers.
  • Recheck the sorting of the team's shipments.
  • Verify that all necessary materials are available in the couriers' bins and/or baskets, including stickers, door knobs, flyers, vouchers, bags, declaration letters, window envelopes, airway bills (Express, Domestic).
  • Hand all shipments, run-sheets, and scanners to the ground couriers in the team.
  • Ensure couriers leave the station on time.
  • Leave after the last ground courier (of your team) departs.
  • Provide feedback on route and load distributions to assist the ground operations supervisor in updating the system.
  • Decide on the skeleton staff.
  • Arrange courier vacations in coordination with the ground operations supervisor.
  • Meet service level agreements on the delivery side.
  • Manage relevant documentation and promptly follow up on outstanding documents such as PODs, invoices, delivery and collection sheets, vehicle checklists, etc.
  • Follow up on all outstanding queries.
  • Ensure security of cargo, personnel, and vehicles.
Collections
  • Auto-generate collection sheets for relevant couriers and confirm collections allocated accordingly. Reschedule collections if necessary.
  • Debrief all outstanding collection sheets as per procedure.
  • Check daily collections.
  • Immediately follow up on issues affecting collections, such as staff shortages or vehicle size constraints.
  • Communicate problems with the Senior Supervisor or Account Manager.
  • Confirm collection reports before couriers return to base (Roll Call).
  • Perform quality control on incoming cargo, verifying bills for dimensions, client details, account numbers, and special instructions.
  • Scan collections as per procedure, checking delivery addresses for branch collections.
  • Report daily collection statistics to the Senior Supervisor.
Deliveries
  • Ensure service levels are met and deliveries arrive on time. Override instructions if specified on waybills.
  • Notify the Senior Supervisor of late deliveries and reasons.
  • Ensure all Proof of Deliveries (PoDs) are received and match run-sheets.
  • Scan back undelivered cargo into the base and inform the Senior Supervisor of reasons.
  • Report damages and endorse waybills accordingly.
  • Debrief delivery sheets as per procedure.
Vehicles
  • Check vehicle cleanliness inside and out.
  • Complete vehicle checklists daily, verified by the supervisor and handed to Fleet Controller.
  • Check for left documentation like PoDs and run-sheets in vehicles.
  • Report and complete accident reports for any incidents.
  • Ensure two-way radios are operational daily.
  • Verify vehicles are equipped with necessary tools, e.g., waybills, stickers.
Staff
  • Monitor staff punctuality and take disciplinary action when required.
  • Oversee staff appearance and take corrective actions.
  • Handle documentation related to leave and sick notes daily.
  • Assist in quarterly performance appraisals.
  • Support staff with personal issues and provide counseling when necessary.
  • Ensure staff are equipped to perform their duties.
Security
  • Ensure the safety of couriers and vehicles.
  • Make sure departing vehicles have communication tools.
  • Account for all dispatched cargo with proper scanning.
  • Ensure vehicles have padlocks where required.
  • Notify the Senior Supervisor of routes needing additional security.
  • Do not leave the base at night until all staff and vehicles are accounted for.
  • Manage issues like shortages, damages, problem deliveries, and missing documentation.
Job Requirements - Experience and Education
  • Matric (Grade 12) or equivalent qualification and/or experience.
  • Minimum of a valid Code 08 Driver’s license; a Code 10 license and PDP are advantageous.
  • At least 3 years’ experience as a ground courier.
  • Proficiency in MS Office applications (Word, Excel, Outlook).
  • Minimum 1-year experience in the logistics industry.
  • Knowledge of local areas and neighborhoods.
  • Computer proficiency.
