Job description

What you will do

The main purpose of the role is to be a key player in delivering the Customer Charter and achieving high customer satisfaction combined with optimized aftermarket profitability. This involves providing service in line with our customers' expectations and assisting with all relevant functions within the parts warehouse. Ensure that the dealership operates according to GVS process in the phases “Planning”, “On Arrival”, and “Dealer to customer and follow-up”.

Reporting: This position reports to the Parts Controller.

Job Objectives
Receiving/Inbound
  • Ensure and oversee that the receiving of goods is done according to Volvo procedures.
  • Ensure all parts are received accurately against documentation and within prescribed time standards.
  • Record discrepancies on the GDS system when parts received are not conforming to standards, including descriptions and part numbers.
  • Ensure parts are binned according to system allocations, not label allocations.
Outbound
  • Process all customer order requests, ensuring correct picking, packing, and distribution of parts according to Volvo procedures.
  • Update the system after authorization at all times.
  • Dispatch the correct parts and quantities as per invoice.
  • Provide efficient service to the workshop, ensuring technicians receive their parts promptly.
Credit Notes
  • Check and sign off credit notes for processing, filing them sequentially.
  • Follow correct procedures when processing credits, e.g., no electrical parts are returned.
Perpetual Stock Counts and Bin Verifications
  • Conduct daily perpetual counts as per set quantities.
  • Investigate discrepancies thoroughly.
  • Authorize updates after investigations before system updates.
Housekeeping
  • Keep warehouse premises neat and tidy.
  • Store parts correctly and bin them properly.
  • Collect waste timely.
Exchange Parts
  • Ensure customer parts meet exchange standards.
  • Handle physical receiving, storage, and preparing supplier/core returns.
  • Pack and label core parts for return to PDC.
Health and Safety
  • Ensure warehouse personnel adhere to Volvo health and safety regulations.

Qualification & Job Experience
  • Matric / Grade 12.
  • Diploma in Warehouse Management or a minimum of three years warehousing experience.
  • Self-motivated and people-oriented.
  • Good communication and interpersonal skills.
  • Customer-oriented, resource management, teamwork, quality orientation.
  • Ability to plan, organize, control stock, and manage time effectively.
