About the Role

As a VEA at TES, you’ll work 1:1 (or 1:2) with executive clients, handling everything from operational support, high-stakes calendar triage to inbox management, project tracking, and team coordination. You’ll play a core role in shaping how your executive’s time, team, and tasks are organized. You are not just “supporting”, you’re actively managing and anticipating.

Key Responsibilities

This role requires resourcefulness, adaptability, and a proactive mindset. While your exact responsibilities may evolve depending on your client’s needs, your core focus is on creating clarity, protecting time, and keeping operations flowing smoothly. Tasks may include:

  • Executive calendar management and scheduling
  • Email triage and inbox management
  • Operational support across day-to-day executive workflows
  • Team coordination and light team management (e.g., check-ins, task follow-up)
  • Project and task tracking
  • Executive travel planning and logistics
  • Document drafting, meeting preparation, and note-taking
  • Client communication and relationship management
  • Light research and data entry
  • Social media or marketing coordination (where applicable)

Requirements

  • Prior experience as an Executive Assistant, Virtual Assistant, Social Media/ Marketing Manager or similar client-facing operations role
  • Exceptional organizational and time-management skills
  • Clear, concise written and verbal communication
  • Professional fluency in Google Workspace and/or Microsoft Office
  • Familiarity with tools like Trello, Asana, Notion, or similar project/task platforms
  • Able to work independently with strong follow-through
  • Discreet, dependable, and emotionally intelligent
