Job description

To provide efficient and accurate administrative support in the management of trust accounts, ensuring all fiduciary responsibilities are met in compliance with legal, regulatory, and internal policies. The role is essential in maintaining the integrity and operational effectiveness of trust services by handling documentation, transactions, and client service activities. The position contributes to the bank’s commitment to delivering high-quality, secure, and compliant trust and fiduciary solutions to individuals, families, and corporate clients.

Key Responsibilities:

  • Attend to all ad-hoc payments, non-res payments & supporting documents for processing, journals & investments and/or redemptions at request of relationship manager/officers in terms of procedural guidelines communicated from time to time.
  • Request limit increases on payments which exceeds daily limits in place.
  • Tracking of reminders and ensuring that all iTrust workflows are attended to and closed out.
  • Attend to the setting up of new Trusts in terms of on boarding workflows and continuous updating of information on iTrust and Customer 1st once Letters of Authority are received, adding all related parties and KYC, including registration with SARS.
  • Collate information for the provisional tax, income tax and CGT schedules on request from the Relationship Manager/Officers.
  • Sorting and compiling vouchers etc. on request in respect of all income tax return forms (IT12’s and provisional tax) within company’s and SARS’s deadlines.
  • Collate relevant files in preparation of a termination process on request from the Relationship Manager/Officers.
  • Assist Relationship Manager/Officers with collating the information and sharing it with the relevant parties as part of the monthly and annual administration statement process.
  • Act as liaison between clients, Financial Advisors, Relationship Manager/Officers and Trust Processing.
  • Be aware and adhere to the Group Reference Guide, Group Compliance, risk and legislative requirements.
  • Verifying correctness of entries and transactions, which can only be verified by first-hand knowledge.
  • Liaising with outside companies such as service providers arranging payment methods and services as requested by relationship officer.
  • Prepare receipts/acquaintances and certificates of existences to be sent to clients.
  • Journalising transactions from source statements such as bank statements and posts these transactions on the relevant Trust systems.
  • Complete daily administrative tasks effectively and accurately e.g., action workflow reminders, sends confirmation letters when requested, extract files from Metro file, etc.
  • Prevent revenue leakage by following the laid down procedures when recovering fees and closing bank accounts etc.

Qualifications:

  • Education:
  • Bachelor’s degree in Finance, Business Administration, Accounting, Law, or a related field.
  • Additional certifications in Trust Administration, Wealth Management, or Fiduciary Services (e.g., CTFA – Certified Trust and Fiduciary Advisor) are an advantage.
  • Experience:
  • 2–5 years of experience in trust administration, banking operations, or financial services.
  • Experience with trust accounting systems and banking platforms is preferred.
  • Skills and Competencies:
  • Strong understanding of fiduciary duties, trust structures, and financial instruments.
  • Excellent attention to detail and organizational skills.
  • Ability to interpret legal and financial documents.
  • Good interpersonal and communication skills for client and internal interactions.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to handle confidential information with discretion.
  • Knowledge of relevant regulations (e.g., FATCA, AML, KYC) is a plus.

Contract : 3 Months

Salary: R 200 per hour
