Responsibilities:
- Providing a telephone service to clients and staff:
- Answering incoming calls, responding, and redirecting as required
- Taking/delivering messages promptly
- Greeting clients, handling queries, providing information, and resolving issues
- Liaising with Telkom / Alcatel for requirements and maintenance
- Sourcing telephone numbers and making outgoing calls as requested
Maintaining the reception area and receiving visitors:- Monitoring and reporting on cleanliness and presentation
- Greeting visitors, receiving parcels, and distributing them
- Supervising client correspondence collection
- Providing information, directing clients, and responding to queries
- Conducting customer service surveys via telephone
- Preparing freight quotations using Freightware data and faxing to clients
- Investigating freight queries and resolving issues
- Reconciling customer statements and processing distributions
- Liaising with clients as needed
- Maintaining driver stationery
- Administering discrepancy reports and claims procedures
- Monitoring third-party PODs and resolving related queries
- Preparing waybills and reports related to PODs and delivery issues
Assisting with delivery and collection procedures:- Responding to delivery/collection queries and resolving issues
- Liaising with clients regarding delivery and collection data
- Verifying client data and processing collection orders
- Generating and faxing collection quotes and registers
- Confirming collections from branches and assisting with cheque collections
Processing freightware systems data:- Capturing and verifying waybill data, recording line-haul manifests, and correcting scan manifests
Processing proof of delivery documentation:- Capturing PODs, noting discrepancies, submitting endorsed PODs, and remitting PODs to Durban office
- Receiving and preparing bank deposits for COD cash and cheques
- Reporting deposits and outstanding CODs
Providing administrative assistance:- Supervising replenishment orders, compiling stationery reconciliations, controlling petrol card slips
- Updating diesel sheets, filing, and assisting with creditors' invoices
Requirements:
- Work experience: 1-2 years in reception or clerical roles
- Technical skills: Proficiency in MS Word, Excel, Outlook, or similar
- Familiarity with Freightware or similar management systems
