Travel Operations Coordinator

The Role: Travel Operations Coordinator (TOC)

The Travel Operations Coordinator serves as the operational centre point of the travel team, combining hands‑on account management with process oversight and team support. You will manage a select portfolio of high‑value incentive travel files, ensure seamless end‑to‑end programme delivery, and work closely with leadership to uphold operational excellence and team development. This role exists to maintain consistently high standards across proposals, costings, reservations, group travel logistics, and financial performance, ensuring every project runs smoothly from concept to completion.

Key Responsibilities
  • Bring 5+ years of experience in incentive travel or travel/event operations with proven management of high‑value client files.

  • Manage and deliver up to two large‑scale incentive travel programmes at a time, including on‑the‑ground group operations with support from junior team members.

  • Develop detailed incentive travel proposals, costings, and quotations while collaborating on pitches and client presentations.

  • Oversee flight reservations and ticketing using Amadeus, ensuring accuracy, compliance, and seamless group logistics.

  • Implement and maintain operational processes that enhance consistency, efficiency, and quality across all travel files.

  • Drive file margin management, ensuring a minimum 14% delivery margin through accurate budgeting, cost control, and supplier negotiation.

  • Manage and negotiate with key stakeholders, including airlines, hotels, DMCs, and ground operators.

  • Mentor and support junior team members through coaching, feedback, development plans, and performance reviews.

  • Support team meetings, quarterly goal setting, and operational or strategic projects as directed by the Executive Director.

About You
  • 5+ years of experience in incentive travel, travel operations, or event operations.

  • Strong proficiency in Amadeus for flight reservations and ticketing.

  • Demonstrated ability to manage complex, large‑scale group travel programmes end‑to‑end.

  • Skilled in budgeting, cost control, and maintaining programme margins.

  • Confident stakeholder manager with experience negotiating with airlines, hotels, DMCs, and suppliers.

  • Strong organisational skills with close attention to detail and a process‑driven mindset.

  • Able to mentor, guide, and support junior staff effectively.

  • Proactive, collaborative, and comfortable working in a high‑performance, fast‑paced environment.
