Vector’s vehicle fleet includes a food industry first in ‘multi-temperature’ vehicles enabling the company to service business across frozen, chilled and ambient temperature zones on a single delivery.
Job Purpose
Workshop administration responsible for supporting the workshop department with all administration related duties in the management of the vehicle fleet.
Key Responsibilities
- Office Administration.
- Maintain accurate filling records for the vehicle fleet.
- Order department stationary as required. Compile daily & monthly fuel usage reconciliations.
- Activate fuel orders on freeway system and generate purchase orders.
- Accurately capture fuel delivered (FMS & Freeway system).
- Verify time sheet submissions from the mechanical team.
- Capture time spent by mechanics on allocated job cards.
- Assist with adhoc administrative tasks as delegated by fleet manager.
- Assist stock controller with storekeeping & stock counts.
Fleet Maintenance
- Daily review of vehicle schedule for maintenance & licensing.
- Coordinate & capture tyre management data onto Pro-fleet system.
- Ensure vehicle fleet licensing is up to date and keep accurate records of expiry dates.
Problem Solving
Problems are generally resolved by reference to established procedures. Some limited flexibility is allowed; problems clearly outside of established procedures are referred upwards.
Customer Relationships
Internal: Workshop staff, Transport department, Payroll.
External: Truck Drivers, Suppliers, Service providers.
Qualifications, Skills And Experience
- 2 Years experience in an administrative role within a fleet maintenance/workshop environment.
- Matric.

Limited to area of responsibility on day-to-day activities.
