What you will do: This position coordinates the flow of documentation from the office to the agents and other real estate companies involved in the contract. It requires maximum attention to detail and high organizational skills. This person must give high attention to the details of the contract and the flow of information.

  1. Search Listing Files for contract documentation.
  2. Review transaction documents.
  3. Be solely responsible for the accuracy of processing the deal files from entry to closing.
  4. Enter data into appropriate platforms.
  5. Confirm that all required documentation is uploaded.
  6. Follow up with agents for missing items.
  7. Follow transaction procedures as outlined by the Team Lead in appropriate platforms.
  8. Enter information into appropriate platforms.
  9. Generate transaction reports.
  10. Confirm commissions with other brokerages.
  11. Send transaction documents to lawyers or other officials as necessary.
  12. Print weekly/monthly list of contracts closing and follow up on outstanding items.
  13. Report outstanding issues to agents and the Designated Managing Broker.
  14. Create invoices for payments.
  15. Complete weekly flash reports regarding sales and listings.
  16. Assist with training on the local transaction platform.
  17. Provide other transaction and agent reporting as required.
  18. Respond to Hubspot tickets promptly.
  19. Assist with the monthly newsletter.
