Duties include :
Training Coordination & Scheduling
- Schedule dealer training sessions using the Training Management System (TMS).
- Share course content outlines with dealers when applicable.
- Send monthly email communication and weekly phone reminders to inform dealers of upcoming training dates.
- Confirm training logistics with delegates and dealers 48 hours before each course.
- Capture training data in TMS for invoice processing and task tracking.
Delegate & Trainer Logistics
- Coordinate accommodation, flights (via travel agents), and airport transfers for delegates.
- Arrange flight and accommodation bookings for trainers when required.
- Liaise with B&Bs, transfer services, and other vendors to ensure smooth delegate travel and arrival.
- Ensure training vehicles are booked for cleaning and maintained in a presentable condition.
Training Day Preparation
- Print, bind, and prepare all course materials and handouts.
- Set up the training venue, including cleanliness, layout, cutlery, and refreshments.
- Arrange daily catering (lunch) and beverages for all attendees.
- Ensure the training centre is ready, welcoming, and fully equipped for each session.
Administration & Support
- Compile and submit attendance registers to the Technical Training team.
- Provide monthly and quarterly reports on training statistics.
- Offer on-site support to trainers with setup and materials as needed.
- Handle any additional administrative tasks assigned by management or training personnel.
- Maintain full accountability for assigned projects, ensuring deadlines are met and outcomes delivered.
Task Management & Reporting
- Communicate effectively with internal departments, trainers, dealers, and service providers.
- Monitor and report weekly to management on progress of all training-related tasks.
- Link training activities to task management systems to support planning and delivery objectives.
- Take initiative in managing tasks that go beyond the basic job function.
Requirements :
- Relevant admin qualification (advantageous).
- 35 years admin experience; exposure to motor industry / training admin is a plus.
- Strong organisational, planning, and admin skills.
- High computer literacy with solid understanding of business systems.
- Able to work independently, take initiative, and manage multiple tasks.
- Detail-oriented, accurate, and methodical.
- Effective communicator and team player.
- Analytical thinker with a practical, hands-on approach.
- Professional, ethical, adaptable, and resilient.
- Willing to work overtime and travel when required.
- Flexible to assist with ad-hoc duties.
