Traffic Coordinator

Hybrid Capetown (2 - 3 days onsite) 3 days remote

They are now looking for a traffic coordinator to add to the team in Captetown as the operations continue to grow in South Africa.

Position summary:

The Traffic Coordinator is the central force behind the seamless coordination of people, projects, and timelines across the creative department. This role is responsible for managing incoming briefs, allocating resources, tracking workflow, and ensuring that creative and production teams are working efficiently and collaboratively to meet deadlines.

The ideal candidate is a strategic thinker, expert multitasker, and master of prioritization. They understand both the creative process and business demands, and can balance the needs of copywriters, designers, and stakeholders across multiple fast-paced projects. Familiarity with agency operations, design/copy workflows, and cross-functional team dynamics is key.

Responsibilities:

  • Manage and prioritize the flow of all incoming creative briefs and requests, ensuring clarity and completeness.
  • Allocate resources across departments (designers, copywriters, freelancers) based on availability, skillsets, and project needs.
  • Track team workload and project timelines to identify risks, capacity issues, or under/overutilization, and proactively resolve them.
  • Work closely with Stakeholders, Producers & the creative team to balance resourcing needs with project scope and schedules.
  • Maintain an up-to-date tracker of all active and upcoming projects.
  • Maintain a real-time traffic and resourcing dashboard; adjust assignments as needed.
  • Facilitate weekly resource and traffic meetings to align departments on priorities, deadlines, and staffing needs.
  • Attend status meetings when necessary to stay informed on projects and shift resources accordingly.
  • Coordinate freelance hiring with Ops and HR, including seat locations, onboarding, IT setup, and client/process orientation.
  • Support recruitment by identifying freelance and vendor partners aligned with project needs.
  • Track out-of-office calendars and flag conflicts or coverage issues to managers and PMs.
  • Analyse team hours against project budgets to help inform resourcing and staffing decisions.
  • Support agency-wide initiatives such as internal culture projects, awards submissions, and cross-functional planning.
  • Assist in the development and enforcement of agency processes and workflows, including financial and operational policies.
  • Collaborate on process improvements to optimize brief intake, creative reviews, and delivery pipelines.

Requirements:

  • 4–6 years of experience in a traffic, resourcing, or a creative operations role within a marketing, creative, or agency environment.
  • Deep understanding of design and copy workflows—how creative work is made and moves through the pipeline.
  • Proven ability to juggle & track multiple projects and priorities under tight deadlines.
  • Experienced working with project management systems (e.g., Jira, Celoxis, Monday.com, Workfront).
  • Strong communication and interpersonal skills—able to collaborate with creatives, strategists, and stakeholders.
  • Familiarity with creative tools such as Adobe Creative Suite, Figma, or similar is a plus.
  • Highly organized, adaptable, and solutions-focused with a sharp eye for detail.
  • Comfortable in a fast-paced, agile, and feedback-heavy environment.
