Job description

Reporting to the Space Program Manager the successful incumbent will perform a wide range of administrative support activities for the Space Programme / Space Engineering unit and Managers to facilitate the efficient operation of the office. They will be responsible for assisting the Program Manager and Project Managers in a variety of administrative activities for the programme / project. Responsibilities may vary depending upon the size and complexity of the project and the Project Managers delegation of assignments. Responsibilities include the tracking of project related correspondence handling of personnel actions oversight and maintenance of interagency collaborative commitments recording and tracking of action items and serving as the official records officer for the project to establish and administer the data management activities for a specific programme project activity or contract.

Requirements

The ideal candidate must have the following qualifications and experience :

  • A Diploma or degree in Business Administration Project Management Office Administration or equivalent related qualification.
  • Three 3 years experience in technical project office support.
  • Fundamental understanding of project processes and project financial processes.
  • Good computer skills and experience in the use of MS Office Suite packages (Word Excel and PowerPoint).
  • Good communication skills ability to multitask and be able to work independently.

Key performance areas will include but are not limited to :

  • Document Management

Maintain and prepare various project documents efficiently and accurately.

  • Draft letters emails and minutes while handling data entry tasks.
  • Manage and maintain both electronic and manual filing systems for easy retrieval of project documents.
  • Office Administration and Support

Track project budgets expenditure and facilitate invoice processing.

  • Order office supplies and ensure proper resource allocation within budget constraints.
  • Conduct information searches to support project decisionmaking.
  • Provide secretarial support to managers and teams as required.
  • Meetings and Events Management

Organise and coordinate meetings ensuring all logistics are handled effectively.

  • Draft agendas book meeting rooms arrange refreshments and take minutes for projectrelated meetings.
  • Travel Coordination

Arrange domestic and international travel for project teams.

  • Book flights accommodation car rentals and shuttles in line with SANSAs policies.
  • Process travel claims and expense reconciliations.

Background verification including criminal record credit checks security clearances qualifications and citizenship checks as well as competency assessment and psychometric testing may form part of the selection process.
