The purpose of the Technical Operations Specialist is to coordinate operational activities across the IDM team, supporting reliable delivery, stakeholder alignment, and consistent execution of key processes. The role carries broader accountability, managing day-to-day operational dependencies, supporting process improvements, and helping maintain effective ways of working.
Coordinate operational activities across IDM teams, helping to keep delivery timelines, priorities, and interdependencies on track across multiple workstreams.
Track operational delivery across multiple streams to drive cross-team alignment, maintaining clear visibility into progress, managing dependencies, and proactively identifying risks and blockers to support daily coordination.
Coordinate Agile ceremonies, leadership forums, and operational engagements with limited supervision.
Prepare and maintain reports, dashboards, presentations, and operational packs for leadership and team use.
Coordinate onboarding and offboarding processes, ensuring activities are completed accurately and on time.
Review operational processes to identify recurring issues and opportunities to improve consistency, efficiency, and service delivery.
Support the implementation and upkeep of standard operating procedures and workflows to improve consistency and operational effectiveness.
Support adherence to operational standards, governance requirements, and IDM ways of working.
Maintain accurate operational records, reporting trackers, and documentation repositories.
Review operational data and reporting trends to highlight risks, issues, and areas for follow-up.
Support consistent documentation practices to ensure information is accessible, accurate, and up to date.
Act as a coordination point for operational queries within IDM, resolving routine matters where possible and escalating more complex issues when needed.
Facilitate clear communication across stakeholders to support coordination, consistency, and timely follow-through.
Work with cross-functional teams to align priorities, resolve dependencies, and support smooth execution.
Support compliance with IDM operational standards, governance requirements, and controls.
Identify operational risks, control gaps, and delivery concerns, escalating where required and helping to support practical improvements.
Support audit readiness through structured documentation and compliance tracking.
Investigate operational issues, help coordinate resolution with relevant stakeholders, and support improvements to reduce repeat issues.
Implement solutions and track outcomes to ensure effectiveness.
Contribute to continuous improvement initiatives that support efficiency and more effective operations.
Provide day-to-day support and guidance to junior coordinators and new team members on operational processes, standards, and tools.
Support knowledge sharing through documentation, training coordination, and sharing of good practices.
Continuously build expertise in IDM tools, systems, and ways of working.
Diploma in Business Administration, Operations Management, Information Systems, Commerce, or a related field (essential).
+3 years’ experience in an administrative or operational support role or related field, or equivalent work experience (essential).
Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications.
Knowledge of Agile ways of working/ methodologies.
Strong organisational and coordination skills, with the ability to manage multiple priorities and stakeholders across day-to-day operational activities.
Strong attention to detail, with the ability to maintain accurate records and support quality and compliance requirements.
Good verbal and written communication skills, with the ability to work effectively across teams and support stakeholder coordination.
Ability to work collaboratively across functions while supporting coordination, follow-through, and execution.
